About The Position

Stafl Systems is looking for a People Operations Coordinator to support the day-to-day people, recruiting, onboarding, and employee experience functions of our growing engineering and manufacturing team. This role is ideal for someone who is highly organized, detail-oriented, proactive, and comfortable supporting a fast-paced environment where priorities can shift quickly. The People Operations Coordinator will work closely with the People Operations team, hiring managers, new hires, employees, and vendors to help keep core HR processes moving smoothly. This person will take ownership of recruiting coordination, support new hire onboarding, HR administration, employee records, compliance tracking, internal communications, company events, and general employee support. The right person will be someone who enjoys being helpful, takes pride in creating a positive employee experience, and can follow through with ownership.

Requirements

  • 1–3+ years of experience in HR, People Operations, recruiting coordination, office coordination, or administrative support.
  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, Psychology, Communications, or a related field preferred; equivalent experience will also be considered.
  • Strong organization skills and the ability to manage multiple moving pieces at once.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Comfortable working in a fast-paced startup, engineering, manufacturing, or onsite environment.
  • Ability to communicate professionally with candidates, employees, managers, vendors, and leadership.
  • Comfortable using HR systems, ATS platforms, spreadsheets, calendars, Slack, email, and shared documents.
  • Able to handle sensitive and confidential information with discretion.
  • Proactive and willing to jump in where needed.
  • Great attitude!

Nice To Haves

  • SHRM-CP, PHR, aPHR, or HR-related certification completed or in progress.
  • Experience with Rippling, Easy Llama, Confluence, Slack, Google Workspace, SharePoint or similar tools.
  • Experience supporting recruiting or interview scheduling.
  • Experience supporting onboarding for technical, engineering, manufacturing, or operations employees.
  • Basic understanding of compliance, or California employment practices.
  • Experience coordinating events, employee engagement activities, or onsite logistics.

Responsibilities

  • Own the full interview scheduling process, from phone screen to final onsite.
  • Communicate with candidates throughout the process — confirmations, reminders, and updates.
  • Set up onsite interviews: book space, prep materials, coordinate with interviewers.
  • Keep the ATS up to date and flag any pipeline that's stalling.
  • Track basic hiring metrics (time-to-schedule, pipeline volume) and share updates with the team.
  • Build onboarding schedules and coordinate a smooth first week for new hires.
  • Keep HRIS, ATS, and employee records accurate and current.
  • Help improve People Ops processes and templates over time.
  • Write, draft, proofread and send employee announcements and updates.
  • Help plan team meals, birthdays, anniversaries, and events.
  • Keep People Ops documents and checklists organized and current.
  • Treat confidential employee and candidate info with care.
