Civil Design, Inc. (CDI) is a multi-disciplined civil engineering firm offering civil site, structural, land surveying, and GIS services. Since its founding in 1996, our team has grown to over 150 team members with six locations. We operate in three states serving our six service lines - Infrastructure + Analytics, Site, Structures, Survey, Transportation, and Water Resources. We have office locations in Missouri – St. Louis and Jefferson City, Illinois - Collinsville and Effingham and Kentucky – Louisville and Prestonsburg. We are looking for a People Operations Coordinator to support our CDI mission in Building Stronger Communities. People Operations Coordinator The People Operations Coordinator is responsible for creating a welcoming, professional, and efficient office environment while serving as a resource for team members, clients, candidates, and visitors. Based in the St. Louis office, this role combines front desk hospitality and office operations with hands-on support for our People Success (HR) team. This is an entry-level opportunity for someone interested in building a career in Human Resources while gaining a strong foundation in business and office operations. The role provides exposure to employee onboarding, engagement, recruiting support, HR administration, events, executive support, facilities, and day-to-day business operations. Through hands-on experience, mentorship, and cross-functional projects, there will be opportunities to take on increasing responsibility and grow within People Success over time. This role reports to the President and People Success Leader and works closely with leaders and team members across the organization.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Management, Communications, or a related field preferred
  • Genuine interest in Human Resources, People Operations, and supporting the employee experience
  • Friendly, professional, and customer service-oriented attitude
  • Strong organizational, time management, and prioritization skills
  • Detail-oriented with the ability to manage multiple responsibilities simultaneously
  • Strong problem-solving skills with a solution-focused mindset
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and exercise sound judgment
  • Comfortable working in a highly collaborative, people-focused environment
  • Ability to work core office hours while providing excellent service to clients and team members
  • Proficient in Microsoft Word, Excel, Outlook, and Teams
  • Prolonged periods of sitting or standing; frequent bending, twisting, reaching, and the ability to occasionally lift up to 30 pounds

Responsibilities

  • Welcome visitors, clients, candidates, and team members while creating a professional and friendly first impression
  • Answer phones, monitor general inquiries, and respond to requests professionally and efficiently
  • Provide excellent customer service while resolving questions and directing requests appropriately
  • Distribute organization-wide communications and prepare materials for new team members
  • Maintain a welcoming, organized, and professional front office environment
  • Prioritize safety, security, and confidentiality while managing front desk operations
  • Handle sensitive information with discretion, professionalism, and integrity
  • Partner with the People Success team to support new hire onboarding and preparation
  • Assist with recruiting coordination, including candidate communication, interview, scheduling, and interview preparation
  • Assist with People Success communications and projects
  • Help maintain organized employee records, documentation, and other HR materials
  • Support benefits and other HR-related administrative activities as appropriate
  • Take on additional People Success responsibilities over time based on interest, skills, and development
  • Support daily business operations and administrative functions across multiple departments
  • Assist with purchasing gift cards and other operational purchases as needed
  • Partner with the People Success team to coordinate new team member workstation setup and onboarding logistics
  • Organize travel arrangements, including hotels, rental cars, flights, and conference registrations
  • Assist with calendar management and scheduling for leadership
  • Support executive leadership with administrative tasks and special projects
  • Coordinate company communications, documentation, and operational initiatives
  • Assist with process improvements and other operational projects as assigned
  • Collaborate with vendors to ensure office equipment and services operate efficiently, including copiers, printers, technology, plants, and office supplies
  • Manage daily mail, shipping, courier services, and package distribution
  • Maintain a clean, organized office environment between third-party cleanings
  • Assist with office furniture tracking, purchasing, and workspace planning
  • Maintain office seating charts and workspace availability
  • Order and stock office supplies, breakroom items, snacks, beverages, and safety supplies
  • Prepare conference rooms for interviews, meetings, client visits, and company events
  • Assist with office decorating and maintaining a welcoming workplace environment
  • Assist with planning and coordinating company meetings, training sessions, and team events
  • Partner with internal committees, the People Success team, Hospitality team, and leadership to coordinate office events and celebrations
  • Support recruiting events, intern programming, and community involvement activities
  • Assist with special events and projects as assigned; hours may flex based on event needs
  • Help create a positive and engaging experience for team members throughout the employee lifecycle
