People Operations Coordinator (Contract)

About The Position

This is a hands-on position at the center of our People Operations team, supporting HR, benefits, employee experience, and the day-to-day operations that keep our studio and our people running smoothly. Requirements

  • 3+ years of meaningful, hands-on experience in People Operations, HR operations, employee experience, or a similar operational role
  • A track record of ownership and independent follow-through — you write things down, track competing priorities, and close loops without being chased
  • Strong written and verbal communication, with a habit of flagging problems and status early rather than waiting
  • Comfort working with HR and operations tools such as Google Workspace, an HRIS (e.g., Paylocity), a ticketing system (e.g., Freshservice), and collaboration tools like Slack
  • High attention to detail and the ability to handle sensitive employee information with discretion
  • Experience managing up: you follow up persistently and professionally, including with busy stakeholders and leadership
  • Ability to work from our Philadelphia studio regularly and as needed for onsite events

Nice To Haves

  • Prior experience at a company of similar size (roughly 100–150 employees)
  • Familiarity with Confluence or similar documentation and knowledge management tools
  • Background that includes light recruiting support such as scheduling or candidate coordination
  • Hands-on experience using AI tools (such as Claude, ChatGPT, or similar) to streamline work, draft communications, or improve processes

Responsibilities

  • Own People Ops processes end to end: track details, document decisions, and close loops without needing reminders
  • Respond to and resolve employee requests through our ticketing system with accuracy, timeliness, and intentional care
  • Maintain and improve internal documentation, flagging gaps and updating processes as you find them
  • Support onboarding, off-boarding, employee records, and HR system updates
  • Coordinate benefits enrollment, open enrollment prep, and leave program tracking (FMLA, COBRA, FSA), routing complex questions appropriately
  • Help plan and execute internal events and employee engagement touch points, coordinating with external providers such as photographers, caterers, and vendors as needed
  • Provide onsite support in Philadelphia for all-hands meetings, company events, and facilities and office logistics
