About The Position

The People Operations Team is a driven, creative, passionate, and caring team dedicated to inspiring, engaging, supporting, and maximizing the value of our people, which drives profitability, productivity, customer satisfaction, and employee retention. The team provides guidance, advocacy, support, recognition, and tools to help people develop their skills and grow personally and professionally. The People Operations Coordinator will provide administrative and operational support to the Safety Specialist and the People Operations Admin Team. This role involves maintaining safety records and documentation, managing purchase requisitions, reimbursements, and payments, handling inventory and supply requests, and assisting employees with access credentials (DBIDS). It is a hands-on, varied role where administrative workflows are kept moving.

Requirements

  • Minimum HS Diploma or GED equivalent
  • Proven work experience in an administration capacity
  • Strong communication skills verbal and written
  • Highly organized with strong capability to multitask and finish assigned projects before deadline dates
  • Ability to actively listen and to persuasively convey ideas and recommendations; keen awareness of and sensitivity to maintaining confidentiality across all levels of the organization
  • Ability to establish and maintain effective working relationships
  • Ability to perform accurately in a detailed oriented environment
  • Ability to analyze information and recommend solutions
  • Ability to work with minimal or no supervision
  • Proficient with Microsoft Office (Word, Outlook, Excel), eLation
  • Familiarity with office equipment, like printers, fax, scanning and emails
  • Maintains a regular punctual, and consistent attendance
  • Must be able to work on weekdays and available on weekends (for company events or as needed) to meet the needs and goals of the business
  • Must possess a valid Guam Driver’s License and be willing to travel to various locations.

Responsibilities

  • Assist the Safety Specialist with preparation, organization, formatting, and maintenance of Safety SOPs.
  • Assist in developing and updating safety-related procedures, forms, checklists, and documentation.
  • Maintain organized electronic and physical safety records.
  • Assist with tracking safety inspections, corrective actions, training, certifications, and other safety-related documentation.
  • Coordinate administrative follow-up for safety initiatives and assigned action items.
  • Assist with preparing reports, spreadsheets, correspondence, and other safety-related materials.
  • Assist with scheduling and coordinating safety meetings, training, inspections, and related activities.
  • Administer and maintain DBIDS-related processes, including processing requests, maintaining required documentation, coordinating information, and assisting employees with administrative requirements related to access credentials.
  • Process and maintain Employee Courtesy Service Program (ECSP) requests and related documentation, ensuring information is complete, accurate, and processed in a timely manner.
  • Assist with customer barter transactions, including receiving and organizing supporting documentation, coordinating approvals or required information, maintaining records, and ensuring transactions are properly processed.
  • Prepare and process purchase requisitions and related documentation for various departments and operational needs.
  • Coordinate employee inventory and supply requests, including equipment, uniforms, business cards, and other company-issued items; work with appropriate departments or vendors to facilitate fulfillment and maintain accurate records.
  • Process and coordinate reimbursements (including, but not limited to, LSA reimbursements and employee expense etc.), including reviewing supporting documentation, verifying required information, routing items for appropriate approval, and maintaining records of completed transactions.
  • Process check payments received through mail and designated drop-box locations, including recording, organizing, and entering payments into the appropriate financial system.
  • Maintain organized records of administrative and financial transactions, including invoices, requisitions, reimbursements, payments, purchase orders, and other supporting documentation.
  • Assist with Executive Hospitality administrative needs, including shopping for designated supplies and maintaining appropriate inventory of hospitality-related items.
  • Receive, sort, and coordinate incoming and outgoing company mail, ensuring documents and correspondence are routed to the appropriate individuals or departments in a timely manner.
  • Maintain confidentiality and exercise appropriate discretion when handling employee information, financial records, customer information, company documents, and other sensitive business information.
  • Perform other administrative duties and special projects as assigned to support the operational needs of the organization.
