Nice To Haves

  • French language proficiency is considered an asset.
  • 1+ year of experience in Human Resources, office administration, or a related field is preferred.
  • Post-secondary education in Human Resources, Business Administration, or a related field is preferred.
  • Experience with HRIS systems and employee databases is an asset.
  • Experience supporting recruitment, onboarding, employee engagement, or office operations is an asset.

Responsibilities

  • Provide support in the implementation and administration of HR policies, procedures, and practices.
  • Respond to internal and external HR-related inquiries in a timely and professional manner.
  • Serve as the first point of contact for Level I employee inquiries through the HR inbox and escalate Level II concerns to the appropriate People Business Partner or subject matter expert.
  • Maintain accurate and up-to-date personnel files and employee records.
  • Monitor weekly timecard completion and follow up with team members as needed.
  • Support benefits administration, including enrollment and employee inquiries.
  • Assist with basic employee change letters and year-end HR processes.
  • Support the People Business Partner with employee relations matters as required.
  • Execute the offboarding process, including coordinating exit interviews, asset returns, workspace cleanups, and system deactivations.
  • Support the Joint Health and Safety Committee by coordinating updates, documentation, and related activities.
  • Assist with HR projects and initiatives as needed.
  • Work closely with the People Team and hiring managers to support a smooth and efficient recruitment process.
  • Coordinate the onboarding experience for new hires and contractors, including offer letter preparation, background check initiation, new hire kit distribution, and manager support.
  • Coordinate and support weekly orientation sessions for new hires.
  • Assist with ensuring new employees have the resources and information required for a successful start.
  • Support the planning, scheduling, and execution of in-office employee engagement activities, including monthly events, recognition initiatives, and the annual holiday party.
  • Participate in the Levata Social Committee and assist with planning and coordinating employee events and activities throughout the year.
  • Support employee engagement initiatives that contribute to a positive and inclusive workplace experience.
  • Assist with special events, celebrations, and team activities as required.
  • Provide onsite support for large in-office meetings and events hosted by executives.
  • Serve as a main point of contact for visitors, external team members, and vendors while ensuring visitor protocols are followed.
  • Maintain office supplies, restock kitchen supplies, and coordinate office-related maintenance.
  • Manage employee security access, including the creation and deactivation of employee badges.
  • Support office operations and administrative needs as required.
  • Assist with the planning, coordination, and execution of office moves, including coordinating logistics, employee communications, workspace setup, and related activities.
