About The Position

The People and Culture (P&C) Site Supervisor is responsible for managing temporary staff and overseeing the accurate and compliant processing of Form I-9 and E-Verify activities across After School Matters’ buildings: Gallery 37 for the Arts, Michael and Karyn Lutz Center and Gately Park. This role leads day-to-day I-9 operations during high-volume onboarding periods by supervising staff responsible for I-9 completion, document verification, scanning, and system updates. The P&C Site Manager ensures all I-9s are completed accurately, on time, and in compliance with federal requirements. This includes providing real-time coaching, enforcing quality control standards, and maintaining audit-ready records. The role serves as the primary on-site lead for I-9 processing and staff performance. This is a temporary seasonal position. The schedule and hours will be determined based on program needs during the summer onboarding period.

Requirements

  • Strong attention to detail and commitment to accurate, compliant documentation
  • Ability to lead, coach, and provide real-time guidance to temporary staff in a high-volume onboarding environment
  • Strong organizational skills; able to manage deadlines, multiple site priorities, and compliance trackers
  • Proficiency with Microsoft Office (Excel, Outlook, Word)
  • Experience with Box or similar file management systems, including standardized file naming and secure document handling
  • Strong written and verbal communication skills; able to explain compliance requirements clearly and professionally
  • Customer-service mindset; able to work respectfully with a diverse workforce in an fast-paced setting
  • Ability to work independently, use sound judgment, and escalate issues appropriately under deadline pressure

Nice To Haves

  • Associate’s degree required, Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
  • Experience supervising or coordinating the work of others in a Human Resources or administrative/office setting preferred
  • Experience working in a high-volume, seasonal environment is a plus

Responsibilities

  • Supervise temporary staff processing Form I-9s (completion, verification, and document handling)
  • Assign and track daily workloads to meet I-9 deadlines and accuracy targets
  • Provide on-the-spot coaching and training to temporary staff
  • Monitor performance and ensure compliance with I-9 procedures and standards
  • Serve as the primary contact for staff questions, issue resolution, and escalations to support a smooth I-9 collection process
  • Escalate employees who do not meet Day 3 I-9 requirements
  • Track work authorization expirations and flag cases requiring reverification
  • Communicate status updates, issues, and compliance risks to the P&C Partner
  • Oversee scanning, naming, and uploading of I-9 forms and supporting documents to Box
  • Ensure staff follow standardized file naming conventions and folder structures
  • Confirm secure and compliant storage of physical I-9 records
  • Ensure all required documentation is collected, complete, and properly retained
  • Conduct routine quality checks on staff-completed I-9s to ensure accuracy and compliance
  • Identify error trends and implement corrective training or process improvements
  • Maintain and monitor a compliance tracker for I-9 status, E-Verify cases, and follow-ups
