About The Position

This role provides comprehensive administrative support for the People & Culture (P&C) department in the Blaine office, while also assisting with broader team initiatives and projects. The coordinator will handle a variety of tasks related to both general administration and P&C functions, ensuring smooth operations and positive employee experiences.

Requirements

  • Provide comprehensive P&C administrative support for the Blaine office and assist with broader team initiatives and projects.
  • Respond to general P&C inquiries from managers and team members, escalate to appropriate team members.
  • Coordinate recruitment activities, including scheduling interviews, posting jobs, and managing candidate communications.
  • Facilitate and coordinate new hire orientation to ensure a positive onboarding experience.
  • Maintain confidential employee records and HR files with accuracy and discretion.
  • Perform I-9 audits and ensure compliance with employment documentation requirements.
  • Track annual employee performance reviews and maintain related records.
  • Monitor and process attendance records, including point tracking and reporting.
  • Assist with payroll auditing and ensure accuracy.
  • Support temporary agency processes, including billing reconciliation and communication.
  • Partner with P&C to plan, coordinate, and execute employee events, including managing logistics and details for company functions such as the annual holiday party, Easter egg hunt, family day, earth month, wellness fair, and other activities.

Responsibilities

  • Answer multiple incoming phone lines; screen, assist, and refer incoming calls, as well as take messages and transfer to voicemail as necessary.
  • Maintain a clean and orderly reception area.
  • Ensure security and GMP procedures are followed by requiring visitors to sign in at the front desk, and maintaining the badge log and other required forms.
  • Open and date stamp all incoming mail, distribute to correct inbox, handle courier shipments and customs preparations, and bundle all outgoing US mail for pick up, completing Waybill forms as necessary.
  • Call for repairs or maintenance for all printers and fax machines in Blaine plant.
  • Order all stationery and office supplies, pens, toners, cartridges etc. as needed.
  • Order in-house catering for events and/or meetings as requested and monthly birthday cakes.
  • Maintain employee store and employee cereal bar inventory, ordering and stocking.
  • Manage funds in the employee fund and petty cash in a responsible and ethical manner.
  • Act as a liaison for uniform, janitorial, copier, vending, IT, telephone, and lawn services, including correspondence and assisting with meeting preparation.
  • Develop, coordinate and distribute announcements to support organizational alignment and employee engagement.
  • Manage employee lockers.
