About The Position

The Department of Anesthesiology's Pediatric Division is looking for a Program Manager who is passionate about healthcare operations, process improvement, and supporting teams that deliver exceptional patient care. This is an exciting opportunity to serve as a key operational leader within one of the largest pediatric anesthesiology divisions in the region, supporting a team of more than 40 Advanced Practice Providers and approximately 55 physicians. The Program Manager will work closely with division leadership, faculty, clinical teams, and administrative partners to drive strategic initiatives, optimize operations, and ensure the division has the resources and support necessary to achieve its clinical, educational, and research missions. Jobs in this career family provide general business operations of the organization or a combination of operational responsibilities covering multiple career families. Functions include institutional research, statistical analysis, policy development and review, strategic planning, and broad unit business operations such as parking and transportation services, risk management, childcare services, real estate and property management, retail services, or responsibilities that combine fiscal, HR, and operational management.

Requirements

Bachelor's degree from an accredited institution and 4-6 years of professional experience in clinical operations and/or personnel management.
A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year for year basis.

Nice To Haves

Master’s degree in business, healthcare administration/management, public health, or a directly related field
Experience working in a healthcare clinic or medical field in an administrative capacity
Experience utilizing and/or managing complex scheduling systems such as Qgenda
Experience working in higher education and/or academic medicine
Experience with financial analysis, budget analysis, and management concepts

Responsibilities

Lead clinical and business projects by planning, organizing, implementing, and executing operational initiatives in partnership with physician and division leadership.
Manage financial planning and oversight for the Pre-Procedure Services Clinic, Chronic Pain Clinic, and Acute Pain Services, including budget planning and execution.
Support workforce and hiring planning by working with clinical leadership and the Division Administrator to establish and monitor hiring targets aligned with budgets and operational needs.
Lead and support the Pediatric administrative team by overseeing daily work, holding regular staff meetings, maintaining team resources and competency, managing the division huddle board, and escalating barriers and successes to the Division Administrator.
Coordinate recruitment and onboarding activities in partnership with the Faculty Affairs and Recruitment Coordinator and the Division Administrative Assistants to support an effective experience for new faculty and employees.
Oversee clinical scheduling coordination by partnering with the Pediatric HR Generalist and Schedule Coordinators to ensure QGenda accurately reflects clinical assignments, leave, and variable-pay information.
Drive operational follow-through and compensation accuracy by partnering with the Division Medical Director to facilitate Division Operations meetings and track action items, while collaborating with the Payroll and Compensation Specialist to ensure salary funding distributions and incentivized shift payments are accurate and timely.
