About The Position

The Payroll Specialist is responsible for the accurate and timely processing of bi-weekly payroll under the direction of the HR Operations Manager. This role processes payroll transactions, audits payroll data, maintains payroll records, and supports benefits and retirement contribution processing. This position plays a key role in ensuring employees are paid correctly, deductions are processed accurately, and payroll records remain organized and compliant.

Requirements

  • High attention to detail and accuracy
  • Ability to manage repetitive, deadline-driven work
  • Strong Excel and payroll reporting skills
  • Ability to follow structured processes and maintain confidentiality
  • 3+ years of payroll processing experience
  • Experience with Dayforce or comparable payroll systems
  • Understanding of federal and Massachusetts wage and hour laws
  • Experience processing union payroll strongly
  • Experience in nonprofit, healthcare, or human services environments

Responsibilities

  • Process bi-weekly payroll in Dayforce and validate time and attendance data
  • Review overtime, differentials, shift premiums, and union wage calculations
  • Audit payroll registers prior to final submission
  • Process off-cycle payments and manual checks as approved
  • Coordinate payroll funding reports with Finance
  • Maintain payroll checklists and required payroll documentation
  • Process updates to tax elections, direct deposits, deductions, and garnishments as needed
  • Monitor retroactive pay adjustments and payroll corrections
  • Maintain payroll-related employee records and system updates
  • Support staff with Dayforce payroll-related updates as needed
  • Apply approved leave pay codes and PFML/STD top-off adjustments
  • Audit benefit deductions for accuracy
  • Reconcile retirement contribution exports and vendor files
  • Upload retirement contribution files to vendors and maintain tracking logs
  • Maintain payroll documentation and audit records
  • Archive payroll registers, change reports, and summaries
  • Support payroll reporting and year-end W-2 preparation
  • Monitor payroll inbox and respond to employee pay inquiries
  • Track inquiries to determine trends and potential training needs
  • Document payroll corrections and resolution timelines
  • Escalate complex payroll issues to HR Operations Manager or HR Director
