About The Position

The Payroll Specialist is responsible for managing and executing complex payroll operations to ensure accurate and timely compensation for employees. This position demands attention to detail and payroll expertise, supporting our dedicated, field-based crew. The role requires proficiency in processing weekly payroll using UKG Ready, along with a strong understanding of garnishment calculations and state and federal payroll tax processing. The Payroll Specialist plays a crucial role in ensuring employees are paid accurately and on time while maintaining compliance with all relevant regulations.

Requirements

  • Minimum of 5 years of payroll processing experience, with a focus on multi-state payroll.
  • Proficiency in using UKG Ready (formerly Kronos Workforce Ready) is highly preferred.
  • Excellent attention to detail and strong analytical skills.
  • Ability to handle confidential information with discretion and integrity.
  • Strong verbal and written communication skills.

Nice To Haves

  • Bachelor's degree in Accounting, Finance, or related field preferred.
  • Certification as a Certified Payroll Professional (CPP) is a plus.
  • Experience in the construction industry, particularly with payroll for 400-500 employees.
  • Certified Payroll with VDOT is advantageous.

Responsibilities

  • Process weekly payroll for multi-state employees, ensuring accuracy and timeliness.
  • Reconcile payroll discrepancies as needed.
  • Reconcile general ledger weekly.
  • Process daily field timesheets.
  • Maintain accurate payroll records to ensure compliance with government regulations.
  • Calculate and process garnishments, levies, child support, and other wage deductions.
  • Prepare and process state and federal payroll tax filings.
  • Stay up-to-date with changes in tax regulations to ensure compliance.
  • Assist with quarterly and annual tax filings, including W-2 and 1099 forms.
  • Generate and analyze payroll reports for management review.
  • Conduct regular audits of payroll data to ensure accuracy.
  • Assist with year-end payroll activities, including reconciliations and audits.
  • Collaborate with Finance to identify opportunities for improving payroll processes.
  • Participate in system upgrades, testing, and implementation of new features in UKG Ready.
  • Address and resolve payroll-related inquiries from employees, providing clear explanations and support.
  • Educate employees on payroll processes and policies, including the impact of changes in deductions, taxes, and other payroll-related items.
