Peterson Cat has an immediate need for an experienced Payroll Specialist at their San Leandro, CA location. This position administers the processing and preparation of payroll, payroll taxes, union benefits, payroll deductions, and contractual changes. Working under minimal supervision, the specialist will plan and perform complex multi-state payroll processing duties in a timely and accurate manner, coordinating and cooperating with company supervisors and managers to accomplish tasks. Requirements

  • Experienced Payroll Specialist
  • Ability to plan and perform complex multi-state payroll processing duties accurately and timely
  • Ability to coordinate and cooperate with company supervisors and managers
  • Understanding of proper taxation of wages, benefits, and other payroll factors
  • Knowledge of federal and state laws regarding payroll
  • Ability to process and reconcile commissions
  • Ability to prepare and process manual checks and positive pay transmission
  • Ability to manage post-payroll paycheck distribution
  • Ability to transmit company benefit contribution data and 401(k) deferrals
  • Ability to perform monthly reconciliation and posting of payroll General Ledger transactions
  • Ability to maintain and record mileage driven for W-2 reporting
  • Ability to maintain all related payroll files and records
  • Ability to coordinate sick leave integration with disability payments
  • Ability to perform certified payroll reporting, when applicable
  • Ability to calculate prevailing wage, when applicable
  • Ability to respond to payroll inquiries in a timely manner
  • Ability to serve as back-up to team members
  • Ability to complete special projects and reports

Responsibilities

  • Set up new hires in the payroll system, ensuring accuracy and completeness of all required information, and maintaining/updating records pursuant to employee/payroll changes.
  • Manage work activities to ensure all business process workflows are processed accurately and timely.
  • Understand proper taxation of wages, benefits, and other payroll factors, ensuring compliance with federal and state laws.
  • Perform semi-monthly labor audits for non-exempt employees, calculate and track adjustments, and coordinate with managers when necessary.
  • Process and reconcile commissions pursuant to defined programs, respond to inquiries, research discrepancies, resolve problems, generate reports as requested, and maintain all paid commission voucher documentation.
  • Prepare and process manual checks and positive pay transmission with the bank.
  • Manage post-payroll paycheck distribution for exempt and non-exempt employees.
  • Transmit company benefit contribution data and 401(k) deferrals to the Plan Administrator.
  • Perform monthly reconciliation and posting of payroll General Ledger transactions, researching and resolving discrepancies.
  • Maintain and record mileage driven by Peterson-owned vehicles for W-2 reporting.
  • Maintain all related payroll files and records, and maintain back-up documentation for all payments processed.
  • Coordinate sick leave integration with disability payments, maintain spreadsheets for leave of absence employees, and track integration and insurance premiums owed.
  • Perform certified payroll reporting, when applicable.
  • Calculate prevailing wage, when applicable.
  • Respond to payroll inquiries from managers and employees in a timely manner.
  • Serve as back-up to team members.
  • Complete special projects and reports as required.
  • Maintain punctual, regular, and predictable attendance.
