About The Position

The Payroll Specialist at Easterseals New Hampshire and Vermont is responsible for accurately and timely completing all Agency payrolls and assisting staff with inquiries related to payroll, time entry, and absence requests. Key duties include preparing manual checks, processing and auditing payroll paperwork, and responding to basic inquiries about paycheck details, pay periods, time off balances, and company policies. The specialist will utilize Human Capital Management (HCM) information systems to verify employee data, escalate complex issues, and guide employees through self-service portals for payroll and HR-related changes. This role also involves coordinating with other departments, managing internal controls, conducting periodic audits, developing corrective action plans, and preparing various payroll reports and financial entries. Additionally, the Payroll Specialist acts as a liaison between department heads and the payroll department, ensuring positive relations and customer satisfaction, and contributes to the development and improvement of payroll processes and automated systems. Requirements

  • Associates degree
  • Three to five (3-5) years payroll experience required
  • Strong mathematical and analytical skills
  • Attention to detail and accuracy
  • Excellent communication and interpersonal skills
  • Ability to maintain confidentiality
  • Knowledge of federal and state regulations as they relate to payroll
  • Computer skills, Microsoft Office
  • Valid driver’s license and reliable transportation

Nice To Haves

  • Bachelor’s Degree, preferred
  • Familiarity with Workday is beneficial

Responsibilities

  • Complete all Agency payrolls accurately and timely.
  • Prepare manual checks on an as needed basis.
  • Process and audit payroll related paperwork.
  • Respond to basic inquiries about: Paycheck details (e.g., gross pay, deductions, net pay) Pay periods and pay dates Time off balances and accruals Company policies and procedures.
  • Utilize HCM information systems to access and verify employee data when responding to inquiries.
  • Escalate complex inquiries or issues when necessary.
  • Assist employees with navigating self-service portal for payroll and human resources department information.
  • Provide guidance on how to submit various Payroll and HR related changes (e.g., address changes, direct deposit updates, tax forms).
  • Coordinate with other departments to resolve cross-functional employee inquiries.
  • Manage the internal controls of the payroll department, conducting periodic internal audits.
  • Develop and implement corrective action plans, when appropriate.
  • Create and prepare payroll reports to include reports for department heads, as requested.
  • Prepare and forward journal entries related to payroll.
  • Prepare payroll related account reconciliations.
  • Serve as Liaison between department heads and payroll department.
  • Ensure positive relations and enhance customer satisfaction.
  • Delegation of research requests to payroll staff, as needed.
  • Assist in the development of new and improvement of existing processes and automated systems, i.e.: streamline processes to eliminate duplication, reduce manual processing, simplify user requirements and modify approvals necessary to ensure adequate controls while balancing against cost/benefit considerations.
