About The Position

Jackson Companies is seeking a detail oriented and customer-focused Payroll Specialist to join our payroll team. In this role, you will be responsible for accurately processing payroll for a large, multi-state workforce while ensuring compliance with payroll regulations. The Payroll Specialist partners closely with employees, managers, HR, and Finance to resolve payroll-related issues, maintain employee payroll records, and reconcile payroll data. The ideal candidate is organized, analytical, thrives in a fast-paced environment, and is committed to delivering exceptional customer service while maintaining the highest level of accuracy and confidentiality.

Requirements

  • High school diploma or GED required; associate or bachelor’s degree in related field preferred.
  • 2+ years of payroll processing experience in a high-volume, multi-state environment.
  • Ability to work on-site as needed, position will be hybrid upon completion of training (2 days remote, 3 days in office).
  • Experience processing payroll using HR/Payroll systems (UKG systems experience a plus).
  • Advanced proficiency with Microsoft Excel, including formulas, lookups, pivot tables, and data analysis.
  • Basic understanding of Payroll Laws: FLSA, overtime, SUI & SIT taxes, deductions, 401k earnings and other related technical payroll competencies.
  • Proven ability to work in a fast-paced environment with several priorities while being flexible to shift priority.
  • A history of working with others to achieve shared goals while taking responsibility for individual actions achieving consistent results.
  • Demonstrated strong written and verbal skills with the ability to effectively communicate with all levels within the organization.

Responsibilities

  • Process payroll accurately and timely.
  • Audit and Validate Payroll Data: Review timecards, attendance, earnings, deductions, and payroll calculations to identify and resolve discrepancies before payroll is finalized.
  • Maintain Employee Payroll Records: Update employee information including tax elections, direct deposit, pay rates, deductions, garnishments, and employment status changes.
  • Ensure Compliance with Payroll Laws: Maintain compliance with federal, state, and local wage and hour laws, tax regulations, overtime requirements, and company policies.
  • Payroll Taxes and Garnishments: Process payroll tax withholdings, child support, tax levies, creditor garnishments, and other court-ordered deductions accurately.
  • Respond to employee payroll inquiries: Provide timely, professional support to employees by email, phone, and in person.
  • Reconcile Payroll Reports: Balance payroll registers, deduction reports, benefit files, and general ledger.
  • Ad Hoc and Off-Cycle Payments: Prepare manual checks, bonus payments, retroactive pay adjustments, corrections, final paychecks, and other special payroll transactions.
  • Support Audits and Reporting: Generate payroll reports and provide documentation for internal audits, external audits, benefit reconciliations, and government agencies.
  • Other Duties: This position will also be assigned additional duties by their direct manager as needed.
