The Payroll Specialist will primarily be assisting with processing the bi-weekly payroll for all Vitality locations along with subsequent internal reporting. This person will also provide new user training and support and responds to team member inquiries relating to payroll functions.

Requirements

  • 3-5 years’ payroll processing experience required; preferably a multi-site/multi-state environment.
  • Strong Microsoft Excel skills to include functions, formulas, filters, sorts, and pivot tables.
  • Knowledge and ability to use HRIS systems.
  • Excellent verbal and written communication skills.
  • Deadline and detail-oriented.
  • Ability to prioritize multiple projects while working independently, maintaining communication on progress, and delivering results.
  • Able to manage confidential financial and payroll data with diplomacy, tact, and respect for privacy of team member records.
  • Working knowledge of UKG or Paycom strongly preferred.
  • Intermediate math skills.

Nice To Haves

  • Associates or above degree preferred in accounting, finance, or equivalent focus area.
  • CPP certification preferred but not required.

Responsibilities

  • Cultivate trust and confidence in the Vitality payroll department by diligently protecting PII and other sensitive or confidential information.
  • Execute comprehensive processes and procedures to ensure timely and accurate bi-weekly payroll that includes processing: changes in employee status, terminations, changes in tax jurisdictions, statutory deductions, bonuses, commissions, etc.
  • Support internal audit and controls related to payroll by monitoring and disseminating various audit reports as appropriate and building reports as needed.
  • Maintain working knowledge of basic payroll transactions including preparation, balancing, benefits, garnishments, taxes, and other deductions as they flow through the payroll system of record and as new releases are implemented.
  • Prepare accurate records and reports of payroll transactions and maintain such documents in accordance with the company’s records retention policies.
  • Resolve payroll discrepancies by collaborating with internal stakeholders, collecting and analyzing information, maintaining detailed documentation, and communicating final outcome to relevant parties.
  • Responds to and maintains the payroll email inbox.
  • Conduct training for new users on payroll processing as well as on-going training as requested and as new releases impact payroll.
  • Ensure on-going compliance with federal, state, and local payroll laws and best practices.
  • Assist with year-end payroll functions including distribution of 1095Cs, W2s, etc., and responds to inquiries regarding replacement forms and corrections.
  • Assist staff with basic HRIS questions and training.
  • Performs other duties as assigned.
