About The Position

The Payroll Specialist is responsible for processing accurate and timely payroll in a high-volume, multi-state environment supporting multiple operating companies within the HVAC, Electrical, and Plumbing industry. This role manages payroll activities across 4 to 5 FEINs, ensuring compliance with payroll tax regulations and company policies. The ideal candidate will have 5 to 6 years of payroll experience, expertise with ADP Workforce Now, advanced Excel skills, and a strong commitment to accuracy and customer service.

Requirements

  • High School Diploma or equivalent required
  • 5 to 6 years of payroll processing experience in a high-volume environment.
  • Experience processing payroll for multiple companies/entities with 4 to 5 FEINs in a multi-state environment.
  • Hands-on experience with ADP Workforce Now, payroll processing and reporting.
  • Strong knowledge of payroll tax regulations, wage and hour laws, garnishment administration, and federal, state, and local compliance requirements.
  • Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables)
  • Experience managing payroll audits, balancing payroll registers, and reconciling payroll-related accounts.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to prioritize multiple tasks and meet strict payroll deadlines.
  • Confidentiality in handling sensitive financial information.
  • Excellent verbal and written communication skills.

Nice To Haves

  • associate or bachelor’s degree in accounting, Finance, Business Administration, or related field preferred.
  • Certified Payroll Professional (CPP) certification preferred.

Responsibilities

  • Process weekly and bi-weekly payroll in a high-volume environment, ensuring accuracy and timely completion.
  • Utilize ADP Workforce Now to manage payroll processing, on a weekly and bi-weekly schedule.
  • Review and validate payroll data, including timekeeping records, overtime, commissions, bonuses, incentive pay, piece-rate, and reimbursements.
  • Audit payroll reports and identify discrepancies prior to payroll transmission.
  • Daily processing of manual checks for payroll adjustments and terminations.
  • Ensure compliance with federal, state, and local payroll laws and company policies.
  • Administer wage garnishment process through full-service ADP Garnishment Service.
  • Research and resolve payroll-related inquiries from employees, managers, Human Resources, and Finance.
  • Prepare payroll-related reports and perform data analysis using Excel.
  • Assist with payroll audits, process improvements, and system enhancements.
  • Assist with payroll, 401k and workers compensation audits.
  • Report daily activities and issues to the department supervisor.
  • Maintain the confidentiality and integrity of employee payroll information.
  • Attend weekly department meetings for training and to discuss current issues, positive feedback, and areas of improvement.
