About The Position

HVS is seeking a detail-oriented and process-driven Payroll Specialist to manage end-to-end payroll processing across four related companies. In this role, you will be responsible for processing accurate and timely semi-monthly payroll for approximately 110 salaried employees across 20+ states. You will manage complex compensation structures including commissions, expense reimbursements, bonuses, and benefits deductions, while maintaining payroll integrity and ensuring full compliance with applicable regulations. Requirements

  • 3+ years of payroll processing experience, preferably in a multi-entity environment
  • Experience with variable compensation structures including commissions, reimbursements, and bonuses
  • Experience with multi-state payroll processing preferred
  • Proficiency in Paychex, QuickBooks, and Microsoft Excel preferred
  • Strong understanding of payroll practices, wage and hour regulations, and payroll tax compliance
  • High level of discretion and confidentiality
  • Exceptional attention to detail with a high degree of accuracy and accountability
  • Highly organized with the ability to manage multiple priorities and meet strict deadlines
  • Strong analytical and problem-solving skills with the ability to resolve discrepancies independently
  • Self-motivated and able to work independently with minimal supervision

Responsibilities

  • Process semi-monthly payroll across multiple entities for approximately 110 employees, ensuring accuracy, timeliness, and compliance with federal, state, and local payroll tax laws
  • Compile, review, and validate commission reports, expense reimbursements, bonuses, garnishments, benefits deductions, and 401(k) contributions for accurate inclusion in payroll
  • Audit payroll data for discrepancies, identify and resolve issues before final processing, and maintain accurate payroll records across all systems.
  • Enter payroll general ledger entries, HSA transactions, and Paychex EFTs in QuickBooks; allocate revenue to correct state income accounts.
  • Ensure compliance with applicable payroll regulations, support payroll-related audits, and assist with reporting requirements as needed.
  • Identify opportunities to enhance payroll processes, controls, and efficiencies while maintaining strict confidentiality of employee and company information.
