About The Position

The Payroll Specialist is a key member of the Human Resources team, managing full-cycle, bi-weekly payroll for Canada and US pay groups (approximately 250+ in Canada and 35+ in USA). Utilizing UKG Pro and WFM, this role ensures accurate end-to-end processing while coordinating international requirements with third-party providers in the United Kingdom, Australia, UAE, and Malaysia. This role is primarily on-site at our Airdrie Depot, with occasional remote work flexibility. This role is a comprehensive generalist position that balances hands-on support with full-cycle payroll responsibilities. Reporting to the Director, Human Resources (or designate), you will join a collaborative HR team and participate in a structured knowledge transfer as part of a related upcoming retirement. The ideal candidate will demonstrate a strong commitment to assuming payroll responsibilities, along with a reliable and dedicated work ethic, and a genuine desire to develop and enhance their payroll expertise.

Requirements

  • Post-secondary education in Payroll, Human Resources, Business or related area and or a combination of relevant experience and skills.
  • Demonstrates a commitment to assuming payroll responsibilities, coupled with reliability, dedicated and commitment to developing payroll expertise.
  • Payroll Compliance Professional (PCP) Certificate.
  • Minimum of 5 years of job-related experience, preferably with experience using UKG PRO and WFM platforms, alternative in-house payroll systems experience will be considered.
  • Familiarity with local, provincial, and federal laws as they pertain to Human Resources/Payroll.
  • Proficiency with Microsoft Office (Excel, Word, Teams, Outlook, Power Point).
  • A results-oriented professional with a proven track record of delivering high-accuracy payroll within a collaborative team, while possessing strong time management skills.
  • Excellent people skills and a desire to learn and ability to adapt to a dynamic, growing organization.
  • Strong communication skills both written and verbal.
  • Ability to operate with very high levels of integrity and confidentiality.

Responsibilities

  • Process bi-weekly Canada and USA payrolls for both salaried and hourly employees within the designated time periods, while ensuring employees are paid accurately and on time.
  • Process monthly international payrolls with support from third-party agencies for UK Australia, Malaysia, UAE and International payments.
  • Review and audit payroll reports for each payroll run to confirm accuracy.
  • Remit source deduction payments and employee benefit contributions to the relevant governing bodies and/or benefit providers within required deadlines.
  • Administer full-cycle payroll from initiation to completion, ensuring the accurate integration of benefit billings, tax remittances, and payroll deductions.
  • Investigate, review, and recommend enhancements for process changes.
  • Safeguard the integrity of the payroll function by ensuring data accuracy and serving as a trusted advisor to employees and leaders; addressing all payroll inquires with a high degree of confidentiality.
  • Work closely with the HR team to identify gaps in internal processes, procedures, and documentation, and make recommendations to assist with continual improvement.
  • Complete monthly tasks which include processing payroll / benefit invoices, uploading and posting payroll journals, submitting payment requests, reconciling payroll clearing accounts and uploading and posting payroll accruals.
  • Responsible for workers’ compensation remittances and annual returns in all jurisdictions.
  • Audit and review annual PIER reports.
  • Prepare year end government tax documents (T4, W2) and various year end payroll reports as requested.
  • Issue Records of Employment (ROE) in a timely manner through UKG PRO.
  • Supports month-end and year-end requirements for Payroll (including WCB), while working with Finance as necessary to meet month-end and year-end deadlines.
  • Respond to employee queries in a timely manner.
  • Support the Director, HR or delegate to provide reporting on various payroll requirements.
  • Committed to ongoing optimization of UKG PRO platform with ability to adapt to and implement new payroll system management tools as business needs revolve.
  • Develop and maintain written payroll policies and processes.
  • Take ownership of Health, Safety and Environment (HSE) issues and demonstrate enthusiasm and support for HSE.
  • Performs other related duties as required and assigned.
