About The Position

SMARDT is continuing to expand its operations across North America and is seeking a high-impact Payroll Manager to lead end-to-end payroll operations across Canada and the U.S. for a rapidly growing organization of 500+ employees. The position plays a critical role in ensuring payroll accuracy, compliance, reporting, and operational continuity during a key transition period, while also supporting process improvements and upcoming HRIS transformation initiatives. This role is a 24-month maternity leave replacement.

Requirements

  • Proven experience independently managing payroll for organizations with 500+ employees in a high-growth environment.
  • Strong hands-on experience with ADP Comprehensive Payroll required.
  • Experience processing payroll in both the United States and Canada, including knowledge of payroll taxes, statutory deductions, year-end reporting, and employment legislation.
  • Experience working with HRIS platforms such as BambooHR, Workday, and/or SAP.
  • Prior involvement in HRIS/payroll system implementation or migration projects strongly preferred.
  • Strong understanding of payroll accounting, reconciliations, and internal controls.
  • Demonstrated ability to manage payroll operations as an individual contributor with full ownership and accountability.
  • High level of accuracy, attention to detail, and problem-solving capability.
  • Strong organizational and time management skills with the ability to manage multiple deadlines.
  • Excellent communication and stakeholder management skills.
  • Advanced Excel skills and strong reporting/analytical capabilities.
  • The ability to communicate in French with our Quebec team is important.
  • Strong English skills are also required to collaborate effectively with our suppliers and global team.

Nice To Haves

  • Experience in a manufacturing, engineering, or multi-entity environment is an asset.
  • Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or related field preferred.
  • CPP (Certified Payroll Professional), PCP, or related payroll certification considered an asset.

Responsibilities

  • Own and manage end-to-end payroll processing for all U.S. and Canadian entities, ensuring accurate and timely payroll execution for approximately 500 employees with planned growth to 700+ employees.
  • Administer weekly and bi-weekly payroll cycles using ADP Comprehensive Payroll or another system
  • Ensure compliance with all federal, state/provincial, and local payroll regulations across the U.S. and Canada.
  • Manage payroll-related activities including earnings, deductions, benefits, bonuses, commissions, garnishments, taxable benefits, vacation accruals, and year-end processing.
  • Manage payroll-related third-party payments including benefits providers, garnishments, retirement plans, and government remittances.
  • Lead payroll audits, reconciliations, and reporting to ensure data integrity and compliance.
  • Maintain payroll documentation, standard operating procedures, and internal controls to support scalability and audit readiness.
  • Prepare and review payroll tax filings, ROEs, T4s, W-2s, and other statutory reporting requirements.
  • Serve as the primary point of contact for payroll inquiries from employees, Finance, HR, and external agencies.
  • Issue and review Records of Employment (ROEs), RL-1s, and other country/province specific statutory documentation.
  • Partner closely with HR and Finance teams to ensure accurate employee data management and payroll accounting.
  • Partner with Human Resources to administer payroll-related programs including workers’ compensation, employment insurance, CNESST, group benefits, and leave programs.
  • Maintain and improve payroll processes, controls, and documentation to support scalability and operational efficiency.
  • Support HRIS/payroll systems initiatives and integrations, including planned migration initiatives involving Workday and/or SAP.
  • Participate in HRIS/payroll implementation projects, testing, data validation, parallel runs, and process optimization activities.
  • Ensure confidentiality and security of payroll and employee information.
  • Monitor legislative and regulatory changes impacting payroll practices in both countries and implement required updates.
  • Generate payroll analytics, headcount reports, and ad hoc reporting for leadership as needed.
  • Recommend and implement continuous process improvements and automation opportunities.
