About The Position

Providing our clients with exceptional service is the foundation of our business. The Payroll Manager, North America, ensures timely and accurate payroll processing for employees in the United States and Canada, while maintaining full compliance with federal, state, provincial, and local regulations. The role oversees internal payroll operations, systems, and collaborates across departments to support efficient workflows. It also manages relationships with external vendors and ensures accurate tax reporting and adherence to labor and tax laws.

Requirements

  • 7+ years of related experience
  • In-depth knowledge of multi-state and Canadian provincial payroll laws, tax regulations, and compliance requirements
  • Exceptional attention to detail and strong organizational skills, ensuring accuracy, efficiency and timeliness in payroll processing, compliance, and record-keeping within a fast-paced environment
  • Strong analytical and problem-solving skills to identify issues and implement effective solutions
  • Proven ability to build and maintain strong, collaborative relationships across the People Team, Finance, Legal, and external partners to drive seamless payroll operations and support organizational goals
  • Excellent communication skills, both written and verbal, to clearly convey complex payroll information to diverse stakeholders
  • Confidentiality and integrity in handling sensitive employee and company information
  • Adaptability and continuous learning mindset; consistently strives for excellence

Responsibilities

  • Manage and execute payroll processing (weekly and biweekly) using Dayforce for employees across the U.S. and Canada (multi-state/province), ensuring accuracy and compliance with federal, state, and provincial payroll laws and tax regulations as well as company policies
  • Ensure timely and accurate payroll tax filings and remittances at the federal, state/provincial, and local levels in both the U.S. and Canada; coordinate with payroll vendors and tax agencies to meet all regulatory deadlines, avoid penalties, and resolve any discrepancies or notices efficiently
  • Review and audit payroll data and system entries each pay period (including new hires, terminations, salary changes, and benefit adjustments) to ensure accuracy and compliance, promptly resolving discrepancies and maintaining thorough documentation
  • Maintain accurate and up-to-date payroll records, ensuring all employee and payroll data is securely documented and easily accessible
  • Responsible for accurate processing and distribution of year-end payroll forms, including W-2s for U.S. employees and T4s for Canadian employees, ensuring compliance with all regulatory deadlines and processing corrections as needed
  • Generate detailed reports regularly for accounting, auditing, and compliance purposes to support financial reconciliation, projections, internal controls, and regulatory requirements; coordinate with auditors to address questions and resolve any discrepancies in a timely manner
  • Prepare payroll journal entries, reconcile accounts and support Finance with month-end and year-end close activities to ensure accurate general ledger alignment
  • Support mergers and acquisitions by leading payroll integration efforts for newly acquired entities as needed, ensuring smooth onboarding and full compliance for incoming employees
  • Develop and maintain payroll policies and procedures, coordinating with the People Team and Finance to enhance payroll functions; serve as the subject matter expert on payroll policies, systems, and best practices
  • Partner with the People Team to address employment matters impacting payroll including severance processing, leave management, compensation updates, and resolving delays in manager timecard approvals
  • Oversee and coordinate clear, consistent payroll-related communications to employees across all regions
  • Conduct comprehensive training sessions for managers to enhance their understanding of payroll-related processes, aiming to improve accuracy, efficiency, and compliance
  • Lead payroll process improvement initiatives to enhance operational efficiency and accuracy, while maintaining robust internal controls and ensuring compliance with regulatory requirements
  • Continuously monitor U.S. and Canadian payroll legislation and tax regulations; assess and implement changes to ensure compliance
  • Serve as the primary point of contact for employee payroll related inquiries, resolving issues in a timely and professional manner while maintaining confidentiality and ensuring a positive employee experience
  • Administer and process wage garnishments, child support orders, tax levies, and other court-ordered deductions in compliance with legal requirements
  • Manage payroll calendars and deadlines; coordinate with internal teams and external vendors to ensure timely and accurate payroll processing, tax filings, and reporting
  • Serve as the primary contact with payroll vendors to resolve issues, manage system updates, and configure pay elements to support business and compliance needs
  • Directly manage the Payroll Administrator providing leadership, guidance, and mentorship; foster a supportive and collaborative environment focused on accuracy, accountability, and continuous learning while ensuring they are cross trained across all payroll responsibilities to serve as an effective backup
  • Set clear performance objectives for the team and monitor progress; provide regular feedback and conduct performance evaluations to support development and ensure high-quality payroll operations
  • Oversee time and attendance approval in a timely manner; ensure accuracy of hours worked, adherence to company policies, and compliance with labor laws
  • Ensure resources are allocated effectively to maximize productivity while meeting budget
