About The Position

We’re looking for a North America Office Manager to join our team in NY and play a key role in shaping the future of neuro-contextual advertising at a global scale. Requirements

  • 2–4 years of experience in office management, workplace operations, facilities, hospitality, administrative coordination, or a related position.
  • Experience working in an international, technology, advertising, or high-growth environment.
  • Highly organized and able to manage several priorities without losing attention to detail.
  • Take ownership and proactively identify what needs to be done.
  • Service-oriented mindset and genuinely enjoy helping others.
  • Communicate clearly and professionally with employees, visitors, vendors, and senior stakeholders.
  • Comfortable coordinating suppliers, workplace logistics, inventories, and events.
  • Able to work independently while collaborating effectively across countries and time zones.
  • Comfortable providing basic technology and equipment support.
  • Professional fluency in English.
  • Based in the New York area and able to work regularly from the NYC office.

Responsibilities

  • Own the day-to-day operations of Seedtag’s New York headquarters.
  • Maintain a clean, organized, functional, and welcoming office environment.
  • Welcome employees, candidates, clients, vendors, and other guests.
  • Manage office, kitchen, and hospitality supplies, anticipating needs and maintaining appropriate inventory levels.
  • Coordinate weekly office lunches, including catering selection, ordering, setup, and vendor follow-up.
  • Handle mail, packages, deliveries, access requests, and other daily office logistics.
  • Act as the primary point of contact for building management, cleaning services, maintenance providers, caterers, and delivery partners.
  • Identify workplace issues proactively and coordinate their timely resolution.
  • Maintain clear workplace procedures, supplier information, and inventory records.
  • Provide administrative and operational support to Seedtag’s offices in Toronto, Chicago, and Los Angeles.
  • Coordinate workplace communications and help local teams resolve office-related requests.
  • Collaborate with global Workplace and People teams to maintain consistent standards across locations.
  • Help implement global initiatives and adapt them to the needs of North American offices.
  • Partner with the People team to coordinate the workplace elements of employee onboarding and offboarding across North America.
  • Prepare workstations, equipment, office access, welcome materials, and other first-day logistics.
  • Ensure departing employees return company equipment and complete the required workplace processes.
  • Support initiatives that strengthen engagement, collaboration, and Seedtag’s culture.
  • Serve as an approachable and reliable point of contact for employees’ workplace needs.
  • Coordinate the preparation and distribution of company-owned laptops, monitors, peripherals, and accessories.
  • Maintain accurate inventories of devices and technology accessories.
  • Support equipment collection and reassignment during employee offboarding.
  • Partner with the IT team to resolve equipment and basic workplace technology requests.
  • Escalate technical issues to the appropriate teams when required.
  • Support internal events, team gatherings, client meetings, office celebrations, and company initiatives.
  • Coordinate venues, catering, supplies, room setup, communications, and other event logistics.
  • Manage swag and event-material inventories.
  • Work with local and global stakeholders to provide a consistent and engaging event experience.
  • Support administrative follow-up, vendor coordination, and expense documentation.
