About The Position

We are seeking an experienced Payroll Consultant to oversee and support multistate payroll administration, compliance, commission calculations, and retirement plan administration. This role will serve as a key resource for ensuring accurate and timely payroll processing while maintaining compliance with federal, state, and local regulations. This is a part time and fully remote role. The ideal candidate has hands-on experience managing payroll for multi-state organizations, setting up payroll tax registrations in new states, administering 401(k) plans, and processing complex compensation structures including commissions and incentive pay. This position requires a highly detail-oriented professional who can operate independently while partnering effectively with Finance, and business leadership.

Requirements

  • 5+ years of payroll administration experience.
  • Strong experience processing multi-state payroll.
  • Demonstrated experience establishing payroll tax accounts and compliance requirements in new states.
  • Experience administering employee commission and incentive compensation plans.
  • Hands-on experience with 401(k) plan administration.
  • Knowledge of federal, state, and local payroll regulations.
  • Experience with payroll systems such as UKG, ADP, Paylocity, Paycom, Workday, or similar platforms.
  • Advanced Excel skills, including reconciliations and reporting.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage confidential information with discretion.

Nice To Haves

  • Certified Payroll Professional (CPP) designation.
  • Experience supporting organizations with remote employees across multiple states.
  • Experience working with professional services, consulting, or sales-driven organizations.
  • Knowledge of payroll accounting and general ledger reconciliations.

Responsibilities

  • Process bi-weekly payrolls accurately and on schedule.
  • Review payroll data for accuracy, including earnings, deductions, taxes, and benefit deductions.
  • Audit payroll reports and reconcile discrepancies prior to payroll transmission.
  • Ensure compliance with federal, state, and local payroll regulations.
  • Maintain payroll records and supporting documentation in accordance with legal requirements.
  • Research and establish payroll tax accounts for employees working in new states and local jurisdictions.
  • Coordinate state tax registrations and unemployment insurance account setup.
  • Ensure proper withholding and reporting requirements are implemented for multi-state employees.
  • Monitor changes in payroll tax laws and compliance requirements.
  • Support payroll audits and respond to agency inquiries.
  • Calculate and process monthly, quarterly, and annual commission payments.
  • Partner with Finance and Sales leadership to resolve compensation discrepancies.
  • Maintain commission tracking and reporting tools.
  • Assist with the administration and implementation of new incentive compensation programs.
  • Administer employee retirement plans, including enrollment, eligibility tracking, contributions, loans, and distributions.
  • Coordinate payroll deductions and employer contributions.
  • Reconcile retirement plan funding and payroll data.
  • Partner with retirement plan providers, recordkeepers, and third-party administrators.
  • Assist with annual compliance testing, audits, Form 5500 support, and participant communications.
  • Maintain payroll system configurations and employee payroll records.
  • Identify opportunities to improve payroll processes, controls, and efficiencies.
  • Assist with payroll implementations, system upgrades, and process documentation.
  • Develop standard operating procedures and payroll compliance guidelines.
  • Prepare payroll, commission, and retirement plan reports for leadership.
  • Support financial reconciliations related to payroll expenses and liabilities.
  • Analyze payroll trends and identify discrepancies or compliance risks.
  • Assist with year-end payroll activities, including W-2 preparation and reconciliation.
