With licensing in 48 states and serving clients across the country, we are searching to add to our Human Resources Team to support our motto with our Great People. The Payroll & Benefits Specialist plays a key role in supporting the day-to-day employee operations of the company. This position is responsible for coordinating bi-weekly payroll input, supporting employee benefits administration, assisting with expense and invoice processing. This role works with the support and oversight of the Human Resource Manager to ensure positive employee experience with our company’s payroll & benefits.

Responsibilities

  • Uphold and represent all company values, ethics, policies, and procedures.
  • Maintain a high degree of confidentiality, accuracy, and responsiveness when handling employee, payroll, and benefit information.
  • Execute payroll-related changes and bi-weekly payroll including status changes, deductions, and support documentation through the company’s current process and other business entities to ensure accurate and timely processing of payroll- and benefits-related activity.
  • Review employee data for payroll accuracy and partner with accounting to ensure timely and accurate payroll processing.
  • Assist employees with payroll-related questions and follow up on missing information before payroll deadlines.
  • Oversee travel coordination for traveling employees, including the booking of travel through expense reporting, hotel blocks as needed, and schedule changes in the current software.
  • Support benefit enrollments, qualifying life event changes, COBRA notices, dependent eligibility tracking, and required benefit documentation.
  • Maintain benefit records and assist with employee communication regarding medical, dental, vision, life, disability, and supplemental plans.
  • Coordinate recurring HR and benefit-related invoices and expenses, including items such as health plan bills, and other approved people-related expenses for payroll.
  • Support onboarding and offboarding processes, including benefit enrollment timing, payroll setup coordination, and employee documentation.
  • Maintain HR files, compliance documentation, and record retention practices in an organized and secure manner.
  • Partner with Human Resource Manager on employee communications, recognition efforts, and routine HR administrative support as needed.
  • Support recruiting coordination as needed, including interview scheduling, candidate communication, and hiring process.
  • Prepare and organize bi-weekly payroll change information for processing within the company and other business entities.
  • Review employee updates before payroll submission.
  • Track new hires, terminations, pay changes, benefit deductions, and other payroll-impacting changes.
  • Coordinate with accounting to resolve benefit billing discrepancies, deadlines, and follow-up items if needed.
  • Maintain payroll files and documentation in accordance with company practices.
  • Process benefit enrollments for eligible employees and coordinate enrollment timing.
  • Assist with open enrollment preparation, employee notices, and annual benefit communication.
  • Track dependents aging off plans, COBRA-related updates, and benefit status changes.
  • Coordinate employee questions and communication with brokers, carriers, and benefit partners as needed.
  • Support 401(k) enrollment coordination and employee meeting scheduling related to retirement benefits.
  • Process or coordinate approval of HR-related bills and expense items, including benefit, wellness, and employee service expenses.
  • Maintain organized records of invoices, submissions, and recurring HR-related payment items.
  • Support newsletter updates, employee anniversary tracking, recognition items, and internal communications.
  • Help maintain HR process documentation and standard operating procedures for recurring operational tasks.
  • Monitor and prepare payroll updates and employee changes for upcoming payroll cycles for the company and other business entities.
  • Respond to employee questions related to payroll, benefits, and HR processes.
  • Maintain benefit enrollment tracking and required follow-up documentation.
  • Coordinate travel bookings, itinerary updates and if schedule changes occur for traveling staff and be the point of contact for expense reimbursement through payroll.
  • Track recurring deadlines and ensure documentation is completed accurately and on time.
  • Support Human Resources Department with recruiting and interview coordination as business needs require.
