Requirements

  • 2-3 years College Diploma in a relevant field
  • Canadian Payroll Association Certification (PA/ PCP Designation) is a must
  • Minimum 5 years of experience administering payroll in a large-scale organization
  • Retail industry experience preferred
  • Multi-provincial experience preferred
  • Thorough knowledge, experience, and understanding of applicable legislation, concepts, collective agreements, and company policies
  • Ability to identify areas for improvement and take initiative to recommend process improvements
  • Exceptional knowledge of payroll accounting; knowledge of general accounting preferred
  • Ability to prioritize, multi-task, and meet deadlines
  • Strong attention to detail
  • Outstanding oral and written communication, represented in a positive manner
  • Strong analytical and mathematical skills
  • Strong Excel skills
  • Excellent understanding and experience of applicable computer programs, i.e., ADP, Kronos Timekeeper, Microsoft Word, Excel, and Outlook

Responsibilities

  • Serve as a payroll subject matter specialist, ensuring accuracy and consistency, providing direction on payroll policies, procedures, taxation issues, and adherence to collective agreements and legislation. Stay current on changing federal/provincial legislation.
  • Update and maintain the integrity of employee data in ADP HRIS, including new hires, status changes, and terminations, and audit all entries.
  • Manage full-cycle payroll for designated groups from new entry to processing to final audit, according to legislative and contractual requirements.
  • Maintain the integrity of and perform modifications to ADP and KRONOS systems as required. Assist, develop, and implement changes with service providers, ensuring the accuracy of final payroll results.
  • Manage the Kronos time and attendance system for assigned regions, including follow-up with stores on missing information for retro adjustment hours, ensuring hours have not already been paid and proper approvals are received. Run Kronos reports to balance hours for accurate payroll processing.
  • Process miscellaneous payments such as stipends, vacation dollars, premium pay, miscellaneous bonus, retro pay, and severance pay directly in ADP HRIS.
  • Perform stop payments, wire transfers, and enter adjustments to update YTD totals. Verify, prepare, and release record of employments for designated employees.
  • Remit deductions and premiums to outside agencies, including garnishments, family support, union dues, pension and WSIB premiums, and handle other monthly filing/reporting.
  • Compile statistical reports, statements, summaries, and payments for submission to appropriate agencies and departments. Review and analyze payroll accounting transactions, performing accounting adjustments as necessary.
  • Manage all year-end activities, including auditing employee data, taxable benefits adjustments, pension adjustments, processing, preparing, and distributing T4s, and all annual reconciliations/filing/reporting.
  • Identify and recommend relevant changes to internal payroll processes to improve payroll services.
  • Communicate and collaborate with relevant sources, including third-party agencies and service providers, to provide information and respond to inquiries.
  • Prepare other payroll-related reports, including annual vacation reports and other ad-hoc reporting as required.
  • Act as a subject matter specialist on Time and Attendance and EIF system/matters from a payroll perspective. Respond to Kronos/EIF requests and advance as appropriate.
  • Adhere to customer service guidelines and procedures as established by Rexall Pharmacy Group Ltd.
  • Carry out all tasks and responsibilities in accordance with internal approvals and payroll processing guidelines.
  • Stay informed about current and new Rexall Pharmacy Group Ltd. policies and procedures to ensure new requirements are properly reflected in payroll.
  • Perform other duties as assigned to support Rexall Pharmacy Group Ltd.
