About The Position

GreenWaste Recovery is hiring a full-time temporary Payroll and HR Coordinator to support our Human Resources team during a major HCM system implementation. This is a hands-on role for someone who enjoys detail-heavy, deadline-driven work and wants hands-on experience supporting a vibrant HR Department. The Coordinator will handle day-to-day payroll and HR transaction processing in our current system while also participating in the implementation of our new platform — including data validation, parallel testing, and process documentation. This is a temporary, full-time position expected to continue through April 30, 2027. Employment remains at-will, and the assignment may end earlier or be extended based on business needs.

Requirements

  • Demonstrated accuracy and attention to detail with high-volume data entry and the ability to meet firm, recurring deadlines
  • Experience assisting with recurring payroll cycles, including timekeeping review, payroll data entry, audits, corrections, and employee pay inquiries.
  • Intermediate Excel skills, including sorting, filtering, VLOOKUP or XLOOKUP, and pivot tables
  • Proven discretion in handling confidential employee information
  • Clear written and verbal communication skills and a service-oriented approach with employees at all levels
  • Two or more years of experience in payroll processing, HR administration, or a combined HR/payroll coordinator role
  • Working knowledge of California wage and hour requirements, including overtime, meal and rest periods, final pay timing, and itemized wage statement rules
  • Experience with an HRIS or payroll platform (ADP & UKG a plus); ability to learn new systems quickly
  • Associate's or Bachelor’s Degree in Human Resources, Business Administration, Accounting, or a related field, or equivalent experience
  • Proficiency in English

Nice To Haves

  • Experience supporting a payroll or HRIS system implementation, conversion, or parallel testing cycle, preferred
  • Experience in a multi-site environment with a significant hourly, field, or union workforce, preferred
  • Familiarity with timekeeping systems and labor allocation or job costing
  • FPC, CPP, aPHR, PHR, or SHRM-CP certification, preferred
  • Spanish language skill, a plus

Responsibilities

  • Assist in the processing of multi-site payroll for a mixed hourly and salaried workforce of approximately 1,000 employees on a weekly/biweekly cycle
  • Enter, audit, and verify payroll changes including new hires, terminations, rate changes, transfers, direct deposit updates, and tax withholding elections
  • Review timekeeping records for missing punches, unapproved overtime, meal and rest period discrepancies, and premium pay, partnering with supervisors on corrections before closing
  • Calculate and process retroactive pay, shift differentials, bonuses, final pay, and other off-cycle payments in accordance with California wage and hour requirements
  • Respond to employee payroll inquiries regarding pay statements, deductions, PTO balances, and withholdings
  • Process garnishments, child support orders, and other wage assignments
  • Support payroll reconciliation, funding confirmation, and post-payroll reporting
  • Provide HR Generalist support by responding to routine employee inquiries and serving as backup coverage for the HR inbox and HR phone line
  • Ensure compliance with all applicable employment laws and company policies
  • Assist with processing new hire, status change, and separation paperwork; maintain accuracy and completeness of employee records in the HRIS
  • Complete I-9 verification and E-Verify submissions within required timeframes
  • Complete employment and wage verifications, unemployment claim responses, and other third-party requests
  • Assist with routine compliance reporting and audit
  • Support data gathering, cleansing, and validation for the migration to the new HCM platform
  • Participate in parallel payroll testing, comparing legacy and new system output and documenting variances for resolution
  • Assist with user acceptance testing, configuration review, and issue tracking
  • Support employee and manager self-service rollout, including troubleshooting and first-line user questions
  • Attend implementation working sessions when needed and complete assigned project tasks on schedule
