About The Position

The Payroll Administrator will be responsible for the preparation, processing, and distribution of accurate and timely paychecks to weekly and bi-weekly union and non-union employees across multiple unions and states within the US while ensuring compliance with Collective Bargaining Agreements, SOX controls, and federal, state, and local regulations. This position plays a crucial role and requires a strong attention to detail and extensive union payroll knowledge including wage scales, prevailing wage, Davis Bacon Act, union pension reporting, garnishments, and various other tax laws.

Requirements

  • 7+ years of payroll experience in a complex, multi-state, multi-entity organization.
  • At least 4 years of experience processing union payroll under multiple Collective Bargaining Agreements.
  • Bachelor's degree in Accounting, Human Resources, or related field, or equivalent combination of education and experience.
  • Intermediate to advanced Excel skills, including VLOOKUPs, IF formulas, and Pivot Tables.
  • Experience with ADP Workforce Now.
  • Strong relationship-building skills with the ability to effectively interact with union representatives, leadership, and employees.
  • Ability to manage heavy workflow, competing priorities, and time-sensitive deadlines while maintaining accuracy.
  • Strong work ethic demonstrating accountability, integrity, discretion, and the ability to maintain confidentiality.
  • Experience calculating fringe benefit contributions and interpreting union wage scales.
  • Experience processing garnishments and payroll adjustments.
  • Experience creating and analyzing payroll reports in ADP Workforce Now.
  • Knowledge of California wage and hour laws, meal penalties, and premium pay calculations.

Nice To Haves

  • Experience processing prevailing wage payroll and working with Davis-Bacon Act requirements.
  • Experience with Motion Picture Industry Pension & Health Plan reporting and contributions.
  • Experience supporting payroll audits and compliance initiatives.

Responsibilities

  • Process payroll for weekly and bi-weekly payroll groups inclusive of Collective Bargaining Agreements Contracts.
  • Motion Picture Industry Pension & Health Plan contribution calculations and reporting.
  • Serve as main point of contact for all employees and respond to payroll inquiries related to interpretation of laws, rules, and regulations including Collective Bargaining Agreement Contracts.
  • Understanding/experience paying prevailing wages.
  • Calculate and maintain union dues.
  • Calculate meal penalties according to state laws and Collective Bargaining Agreements.
  • Prepare, calculate and print manual checks.
  • Prepare ad hoc custom reports upon request.
  • Ensure timely quarterly and annual filing and distribution of employee W-2’s, 1099’s, 940’s, 941’s, etc.
  • Handle all internal and external audit requests related to payroll.
