About The Position

The Payroll Administrator is a key member of the Human Resources team responsible for performing payroll and administrative tasks to ensure accurate processing, recording, and auditing of WEST’s multi-state and Canadian payroll and associated taxes. This role works closely with support staff and management to ensure payroll compliance and accuracy across jurisdictions.

Requirements

  • Bachelor's degree in accounting, Business, or payroll certification
  • 2–5 years of multi-state payroll or bookkeeping experience
  • Strong knowledge of payroll processes, compliance, and multi-state tax requirements
  • High attention to detail with a focus on accuracy and timeliness
  • Strong organizational and time management skills
  • Proficiency in payroll systems (Deltek VantagePoint experience preferred, but not required) and Microsoft Office
  • Ability to interpret and apply payroll regulations and policies
  • Excellent communication and interpersonal skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong analytical and problem-solving skills
  • Proven ability to handle sensitive and confidential information
  • Must successfully pass a pre-employment background check, drug screening, and a DMV records check that meets WEST’s minimum criteria to operate a motor vehicle on behalf of the company.
  • A valid driver’s license will be required.

Responsibilities

  • Prepare and process bi-weekly payroll for U.S. employees in multiple states and provide payroll data for Canadian payroll processing
  • Review new hires and payroll system data for accuracy and completeness
  • Audit, review, and post timekeeping records in compliance with company standards
  • Ensure proper overtime coding across multiple state and provincial requirements
  • Calculate and process payroll deductions, additions, garnishments, and levies
  • Reconcile bi-weekly benefit withholdings (medical, dental, vision) and reimbursements
  • Manage vacation, sick, and other leave accruals for full- and part-time employees
  • Respond to employee questions regarding pay, deductions, and withholdings
  • Assist with payroll tax deposits and preparation of monthly, quarterly, and annual filings
  • Support multi-state tax compliance, including unemployment and workers’ compensation reporting
  • Research and register payroll tax accounts in new states
  • Reconcile payroll tax general ledger accounts and prepare quarterly adjustments
  • Assist with year-end processing, including W-2 preparation in compliance with IRS regulations
  • Maintain payroll records in accordance with legal requirements
  • Prepare ad hoc reports and analysis for management
  • Stay current on payroll laws and regulations and communicate updates as needed
  • Maintain strict confidentiality of payroll and employee information
