About The Position

We're looking for a reliable, detail-obsessed Payroll & Administrative Specialist to join our accounting team. In this role, you'll own union craft payroll from timesheet to check, manage certified payroll compliance on prevailing wage projects, and keep the administrative gears turning - all while supporting a fast-moving team that doesn’t slow down for errors.

Requirements

  • High school diploma or equivalent required
  • Prior payroll experience required
  • Meticulous attention to detail
  • Strong organizational skills and ability to manage hard weekly deadlines without supervision.
  • Proficiency in Microsoft Excel, Outlook, and payroll or accounting software.
  • Solid communication skills for working with field supervisors, union halls, and benefit administrators.
  • Discretion with confidential employee information.
  • Self-starter who takes ownership and follows through.

Nice To Haves

  • Associate degree in accounting or business a plus.
  • Construction or union payroll experience strongly preferred.
  • Familiarity with prevailing wage, certified payroll reporting, and union trust fund remittance preferred.

Responsibilities

  • Process weekly union craft payroll accurately and on time, including multi-rate, multi-project, and shift differential scenarios.
  • Apply correct prevailing wage rates by project, classification, and jurisdiction in compliance with federal and state requirements.
  • Prepare and submit certified payroll reports (LCPtracker, paper, or agency portal) for public works projects.
  • Calculate and remit union fringe benefit contributions - health, pension, vacation, and training - to the appropriate trust funds on schedule.
  • Maintain employee payroll records, new hire documentation, and I-9/E-Verify compliance.
  • Coordinate with field supervisors and operations to resolve timecard discrepancies before payroll closes.
  • Manage onboarding paperwork for new hires: union cards, tax withholding, direct deposit, and benefit enrollment.
  • Support the accounting and HR functions with filing, correspondence, and document management.
  • Assist with office administrative tasks including mailings, supply coordination, and scheduling support as needed.
  • Perform regular quality checks on your own work - accuracy is non-negotiable in this role.
