About The Position

Under the supervision of the Director of Patient Services, the Patient Services Supervisor is responsible for the provision of excellent customer service, patient registration & documentation, appointment scheduling, and patient flow. This role includes opening and closing the receptionist station daily, including Saturdays as required, and serving as the TTY point person for scheduling appointments and sperm pick-up as needed. The supervisor is also responsible for the completion of daily cash and audit procedures.

Responsibilities

  • Provides excellent customer service by greeting clients with a smile and professional manner, answering phone calls cheerfully, and providing accurate information regarding FCHC services and providers.
  • Manages patient registration process, including accurately registering new patient demographic data, obtaining and entering insurance information, and collecting co-payments and fees.
  • Schedules appointments according to patient needs and provider availability, ensuring patients receive appropriate information on arrival times and necessary documentation.
  • Conducts reminder calls to patients one day prior to their scheduled appointment.
  • Adheres to Patient Registration policies and procedures, including credit and collection policies.
  • Collects, audits, and manages fee slips, scanning them and preparing them for shipment to the Finance Department.
  • Balances grids and cash drawers daily, verifying that all transactions equal the amount in the cash drawer and reporting any discrepancies.
  • Runs daily reports in a timely manner according to written guidelines.
  • Provides training and supervision to assigned staff, ensuring they receive comprehensive orientation and sufficient training.
  • Conducts regular written evaluations of assigned staff.
  • Makes employment-related decisions regarding assigned staff within the scope of defined authority.
  • Meets agency participatory expectations, adhering to all agency and departmental policies and procedures.
  • Participates in quality assessment and improvement activities.
  • Maintains patient and client confidentiality.
  • Adheres to established safety policies, procedures, and precautions.
  • Attends all required meetings, in-services, and professional trainings.
  • Maintains professional competence and provides agency with records of continuing education activities.
  • Serves on agency committees and in professional organizations when requested.
  • Performs related duties as assigned.
