The Patient Services Representative acts as a liaison between patients and medical support staff, greeting patients and visitors courteously, checking them in, and verifying/updating necessary insurance information. They are responsible for complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses. Additionally, they handle posting payments, balancing the computer reports at day end, arranging for patient pre-payments, and enforcing financial agreements. The role involves gathering charge information, coding, entering data, completing the billing process, and distributing billing information. Filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts are also key duties. The position supports front office phone operations, screens visitors, and handles routine information requests. They are responsible for gathering, coding, and posting outpatient charges, processing payments, and researching address verification. Mail processing, preparing daily cash deposits, and receiving payments are part of the daily tasks. The role involves working with patients on financial agreements, assisting with outpatient coding and error resolution, and processing edits and customer service requests. Identifying trends and communicating problems to management, updating patient account databases, and maintaining physician schedules are also expected. Scheduling surgeries, ancillary services, and follow-up appointments, answering patient questions about appointments and testing, and assembling patient charts are included. They assist patients with insurance claims, disability benefits, home health care, medical equipment, and surgical care. Processing benefit correspondence, signature, and insurance forms to expedite payment, and assisting patients in completing forms for hospitalization or surgical pre-certification are crucial. Following up with insurance companies to ensure coverage approval, posting actions, and maintaining permanent records of patient accounts are required. Answering patient questions regarding their accounts, confirming workers’ compensation claims, and preparing disability claims are also part of the responsibilities. Maintaining files with referral slips, medical authorizations, and insurance slips, and researching information for outpatient billing are necessary. Keying charge information into an online entry program, processing and distributing billings, and pulling charts for scheduled appointments are daily activities. Delivering, transporting, sorting, and filing returned charts, picking up lab reports, dictations, X-rays, and correspondence, and checking for misfiled charts are also included. Maintaining orderly files, filing medical reports, purging obsolete records, and destroying outdated records following established procedures are required. Making new patient charts, repairing damaged charts, and assisting in locating and filing records are part of the medical records management. Working with medical assistants and other staff to route patient charts and following medical records policies and procedures are essential. Collecting payments at the time of service, reviewing accounts for timely payment, performing collection actions, and evaluating patient financial status to establish payment plans are key financial responsibilities. Recommending accounts for collection agency assignment, resolving patient billing complaints, and following up on accounts until zero balance are also expected. Participation in educational activities, gathering and verifying superbills, entering charge and payment information, and verifying accuracy of coding, charging, and insurance status are daily tasks. Printing daily reports, verifying charge entry balancing, backing up and closing computer files, and registering new patients are also part of the role. Maintaining strictest confidentiality and performing related work as required are expected.
