This role involves complete and accurate patient registration, pre-certification, charge capture, and accurately coding diagnoses given by physicians. The representative will also be responsible for posting all payments and balancing computer reports at day end. This position requires a high level of public contact and excellent interpersonal skills. The role involves arranging for patient pre-payments and enforcing financial agreements prior to providing service, gathering charge information, coding, entering into the database, completing the billing process, and distributing billing information. Filing insurance claims, assisting patients with insurance forms, and processing unpaid accounts by contacting patients and third-party payers are also key functions. The Patient Services Representative acts as a liaison between the patient and medical support staff, greets patients and visitors courteously, checks in patients, verifies and updates insurance information, and obtains necessary signatures. They assist patients with ambulatory difficulties, maintain the appointment book, and follow office scheduling policies. Phone support, screening visitors, and responding to routine requests for information are also part of the role. The representative is responsible for gathering, accurately coding, and posting outpatient charges, processing vouchers and private payments, and researching address verification. They assist with mail return statements and outgoing statements, acquire billing information for all doctors and patients, and perform cashiering functions including monitoring and balancing the cash drawer daily, preparing daily cash deposits, and receiving payments from patients. Coding and posting payments, maintaining records, and working with patients to secure prepayment sources or financial agreements are essential. The role includes assisting with outpatient coding and error resolution, processing edits and customer service requests, identifying trends, and communicating problems to management. Updating the patient account database, maintaining physician schedules, scheduling surgeries and appointments, and answering patient questions are also required. Assembling patient charts, updating patient profiles, overseeing the waiting area, and assisting patients with insurance claims and benefits are part of the daily tasks. Processing benefit correspondence, signature, and insurance forms, assisting with hospitalization or surgical pre-certification, and following up with insurance companies are crucial. The representative will post all actions, maintain patient account records, answer patient inquiries, confirm workers’ compensation claims, prepare disability claims, and follow up on claim payments. Maintaining files, researching information for outpatient billing, coding procedures and diagnoses, and keying charge information are necessary. Processing and distributing billings, pulling and filing charts, picking up lab reports and correspondence, and maintaining orderly files are also responsibilities. Obsolete records are purged, and outdated records are destroyed following established procedures. New patient charts are created, damaged charts are repaired, and assistance is provided in locating and filing records. The representative works with medical assistants and other staff to route patient charts and follows medical records policies. Collecting payments at time of service, reviewing accounts for timely payments, performing collection actions, evaluating patient financial status, and establishing payment plans are key. Recommendations are made regarding accounts for collection agencies. Patient billing complaints are identified and resolved, and participation in educational activities is expected. Superbills are gathered and verified daily, and charge and payment information is entered, verifying accuracy. Daily reports are printed, and computer files are backed up and closed. New patients are registered, and financial information is updated, maintaining strict confidentiality. The role requires a neat and professional appearance, commitment to service, and adherence to office manual guidelines. Performs other duties as assigned.
