About The Position

Our team works together to provide a positive patient experience while supporting efficient and effective clinic operations. The Patient Services Representative is responsible for entering patient demographic and insurance information and ensuring that changes to patients’ insurance coverage are kept current. This position also facilitates the processing of patients in the clinic. Work is performed under the general supervision of the Site Manager.

Requirements

High school diploma or general education degree (GED); OR six (6) months of related experience and/or training in insurance verification in a medical environment; OR an equivalent combination of education and experience
Ability to communicate clearly and effectively, both verbally and in writing
Ability to interact with customers in a calm, professional, friendly, and patient manner
Detail-oriented with the ability to type accurately and work within a Windows operating system and related programs
In-depth knowledge of all aspects of the various clinic products
Ability to communicate policy information in a clear and detailed manner
In-depth knowledge of how to interpret plan codes and option codes
Ability to work effectively as a team player
Excellent problem-solving skills
Ability to organize and prioritize work assignments
Ability to handle multiple priorities in a fast-paced environment
Ability to analyze situations and respond in a timely manner
Ability to participate in multifunctional teams
Ability to establish and implement new processes
Ability to establish and maintain effective working relationships within West Cancer Center
Proficiency in computer applications, including EMR, word processing, and email

Ability to sit, stand, walk, reach, climb or balance, stoop or crouch, use hands/wrists, talk, see, and hear for extended periods of time
Ability to read and understand simple instructions, short correspondence, and memos and write simple reports
Ability to effectively present information in one-on-one and small-group situations to supervisors, customers, and/or other employees
Ability to add and subtract two-digit numbers and multiply and divide by 10s and 100s, including performing these operations using U.S. dollars and units of weight, volume, and distance
Ability to apply common-sense understanding to carry out simple one- or two-step instructions and deal with routine situations with occasional or no changes
Ability to lift up to 10 pounds 25–50% of the time

Responsibilities

Enter new patient information into the computer system, including insurance and referring physician information
Update patient information as insurance changes occur in systems and collect copays
Use discretion and independent judgment in handling patient or physician complaints, document concerns, and forward them to the Site Manager
Communicate information received from physicians, patients, or employees regarding the patient’s care or needs
Ensure patients are directed to the Site Manager for questions and/or concerns or direct patients to the appropriate department
Notify the Site Manager of any problems in a timely manner
Serve as back-up for appropriate clinic members during absences
Interface internally with all levels of staff
Pull information from the EMR and record necessary information, including copays and labs
Print Face Sheets and verify that demographic information has been updated within the last 30 days
Admit patients to the hospital, if necessary, and pre-certify the visit
Call for ambulance or emergency personnel, if necessary
Obtain medical records, films, and/or slides prior to new patient visits
Provide general assistance to patients as requested
Provide new patients with Cancer Care Monitors and instruct them regarding their use
Notify management and staff regarding visitors
Register patients for the patient portal
Distribute visitor badges
Provide doctors’ excuses as needed
Respect the dignity and confidentiality of patients
Maintain a good attendance record and report to work on time
Maintain a professional attitude and appearance
Comply with clinic safety policies and procedures
Demonstrate good communication skills that contribute to a team-oriented work environment
Attend staff meetings as scheduled
Assist with training and orientation of new employees as assigned
Perform all other duties as assigned
