This role functions in a customer service capacity, overseeing the day-to-day operations of the front office area. Responsibilities include patient pre-registration and registration, scheduling, and general clerical support. The position requires cross-training in all front desk functions to ensure smooth departmental operations. This role is typically the first point of contact for patients and visitors, and must ensure a pleasant, compassionate, and empathetic experience. The Patient Representative interviews patients and/or their representatives to gather complete and accurate demographic, financial, and insurance information for billing and account collection. They conduct intensive screening of worker's compensation, Medicare, Medicaid, and managed care patients for pre-certification requirements and provider service eligibility prior to registration. The role also involves obtaining necessary customer consents/attestations, maintaining knowledge of insurance benefits and coverage verification, and coordinating the collection of estimated patient liabilities, including co-payments. Additionally, the representative responds to customer requests, answers questions about services and accounts, and resolves concerns using established procedures. Proficiency in multiple clerical functions is essential, including operating a multi-line phone system, accurately registering patients, preparing paperwork, verifying insurance, understanding benefit breakdowns and authorization requirements, reviewing benefits with patients, maintaining data entry in spreadsheets, and managing supply inventory. The role requires competence in EPIC and OP Rehab EMR systems, including reviewing and posting payments, and adhering to policies for processing receipts, cash, and end-of-day cash drawer reconciliation. The position also involves sorting, organizing, and maintaining documents, referring patients to financial counselors, and preparing charts for the clinic. The Patient Representative must maintain proficiency and accuracy in data entry, utilize available information system capabilities, and provide secretarial support to management and clinical staff while maintaining confidentiality. They will also track financial/clinical statistical data, work EPIC work queues and reports, complete denials, and prepare/maintain accurate statistics for the department, submitting reports to administration. The role may also involve Lawson or other methods for departmental ordering/inventory and recording/maintaining minutes of departmental meetings and educational records.
