As a Patient Services Representative/Scheduler, you will play a vital role in creating a positive patient experience while supporting the efficient operation of our clinics and scheduling team. This position will primarily support our Provo and Lehi locations, with occasional coverage at our Spanish Fork location as needed. You will assist patients both in person and over the phone, coordinate appointments, manage patient information, verify insurance, collect payments, respond to patient communications, and work closely with providers and clinical staff to ensure smooth patient flow. The position requires the ability to work within our scheduling hours of 7:00 AM–5:00 PM Monday- Friday.

Requirements

  • High school diploma or equivalent required
  • Excellent verbal and written communication skills.
  • Warm, friendly, and empathetic personality with a genuine desire to help patients.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to multitask and remain efficient in a fast-paced healthcare environment.
  • Comfortable working with computers, scheduling systems, EHR platforms, and Microsoft Office.
  • Ability to learn new technology and adapt to changing processes.
  • Strong problem-solving and critical-thinking skills.
  • Reliable, punctual, and accountable with a strong work ethic.

Nice To Haves

  • additional education or healthcare training is a plus.
  • Previous healthcare, medical office, customer service, or call center experience preferred but not required.
  • Experience with electronic health records (EHR) and scheduling software is a plus.

Responsibilities

  • Greet patients warmly and professionally upon arrival and create a welcoming experience.
  • Serve as a knowledgeable and compassionate point of contact for patients in person, by phone, and through electronic communication.
  • Register new patients and accurately collect and update demographic, insurance, and contact information.
  • Answer patient questions and address concerns with professionalism, empathy, and efficiency.
  • Maintain a clean, organized, and welcoming reception area.
  • Support patient check-in and check-out processes.
  • Collect and accurately process co-pays, payments, and outstanding balances.
  • Assist patients with billing and insurance questions and collaborate with the billing department when additional assistance is needed.
  • Answer incoming calls promptly and professionally while identifying and addressing each patient's needs.
  • Schedule, reschedule, and confirm appointments using the practice's scheduling system.
  • Coordinate provider schedules to maximize appointment availability and maintain efficient patient flow.
  • Provide patients with accurate information regarding appointments, preparation instructions, required documentation, and next steps.
  • Respond to patient emails, texts, and voicemails before the end of each business day.
  • Follow up on missed appointments and assist patients with rescheduling.
  • Manage incoming patient referrals and ensure they are appropriately processed within 1–2 business days.
  • Assist with maintaining an accurate and organized appointment calendar.
  • Coordinate with clinical and administrative teams to ensure patients are scheduled appropriately and efficiently.
  • Verify insurance coverage and assist with obtaining necessary authorizations when required.
  • Accurately document patient interactions, scheduling information, and other relevant details in the electronic health record (EHR).
  • Maintain accurate and confidential patient records.
  • Assist with filing, data entry, record-keeping, and other administrative responsibilities.
  • Collaborate with medical staff, billing, and other departments to resolve patient needs and ensure continuity of care.
  • Participate in ongoing training to remain current on medical office procedures, technology, and practice guidelines.
  • Provide support to other team members and perform additional duties as assigned by the office manager or supervisor.
  • Maintain strict adherence to HIPAA regulations and protect patient confidentiality at all times.
  • Follow all Peak ENT Associates policies and procedures.
  • Handle patient information accurately, professionally, and securely.
  • Uphold the clinic's standards of excellence in patient care, customer service, and professionalism.
