About The Position

The Patient Service Representative (PSR) Lead will be responsible for overseeing daily workflow processes and serving as the primary point of contact for PSRs, supervisors, and physicians at assigned site(s). This role involves ensuring adequate staffing, assisting staff with work-related concerns, monitoring performance, and conducting daily audits of charges, payments, and bank deposits. The PSR Lead will also handle patient interactions, including greeting, registering, verifying insurance, scheduling appointments, and processing payments, while ensuring adherence to established policies and procedures.

Requirements

  • High school diploma or GED - Required
  • Minimum of 1 year business office or clinic experience - Required

Responsibilities

  • Reviews department work schedules to ensure all scheduled employees are present during their scheduled shift.
  • Schedules staff for sufficient coverage at assigned site(s).
  • Notifies supervisor if there is a staffing shortage.
  • Leads daily workflow processes.
  • Serves as point person for daily workflow for PSRs, supervisor and physicians at site(s).
  • Assists staff with handling work-related concerns/issues.
  • Monitors performance of staff to ensure work is carried out in accordance with established policies.
  • Alerts supervisor of staff infractions in accordance with policies and procedures.
  • Responsible for daily audit of charges, over-the-counter payments and bank deposit reconciliation.
  • Answers telephone calls, determines nature of calls, takes and relays messages, and responds to routine inquiries following established procedures.
  • Greets patients and patient families arriving for scheduled appointments.
  • Registers patient by obtaining pertinent information such as name, demographic data, insurance coverage, etc. according to established procedures.
  • Enters information into computer system.
  • Verifies insurance eligibility and advises patients of covered benefits.
  • Requests and reviews managed care referrals and ensures that services provided are within scope of authorization.
  • Enters physician scheduling templates to meet system guidelines, updates/edits as needed due to time off requests or other changes such as meeting attendance requirements.
  • Schedules all appointments including patient visits, laboratory tests, off-site diagnostic tests, etc., over the telephone and in person prior to patients leaving and assures appropriate education is provided for office procedures that are scheduled.
  • May assist patients with scheduling off site diagnostic tests via Central Scheduling.
  • Depending on office site, may be point person for billing questions.
  • Receives and records patient payments made at time of service.
  • Balances actual daily receipts with computer-generated total, researches and modifies discrepancies and/or errors, and prepares day end close.
  • Performs next day preparation for the office including chart preparation, pre-registration, appointment confirmation and payment request.
  • Performs other duties as assigned such as maintaining patient files, photocopying documents and materials, answering routine questions regarding procedures or examinations, and so forth.
