About The Position

The Patient Service Clerk plays a crucial role in the Emergency Department by scheduling appointments, registering patients, preparing charts, maintaining patient lists, verifying billing, and performing other clerical tasks. Requirements

  • Secondary School Graduation Diploma (Essential)
  • Approximately 6 months of related experience (Essential)
  • Knowledge of computer software (Epic, Sunrise, Outlook) (Essential)
  • Ability to ensure timely completion of tasks by adjusting priorities as required (Essential)
  • Ability to adapt to changes to meet organizational requirements (Essential)
  • Communicate effectively and concisely, both orally and in writing (Essential)

  • Experience working in a clinical environment live on Epic Ambulatory (Preferred)
  • Experience in patient registration using Cadence (Epic) (Preferred)
  • Experience in creating, editing, scanning and scheduling referrals (Preferred)
  • Experience in managing order workqueues (Preferred)
  • Experience in patient check outs including follow ups and recall management (Preferred)
  • Experience using inbasket communication in Epic (Preferred)

Responsibilities

  • Create new patient profiles in EPIC and register patients in Cadence (Epic Hyperspace).
  • Input and update electronic referrals in Epic Referral Management according to triage standards.
  • Scan referrals into Epic with appropriate naming conventions.
  • Schedule new and return patients from workqueues and recall lists according to priority and required follow-up dates.
  • Schedule interpreters for families as needed.
  • Manage clinic orders and order workqueues.
  • Greet patients and parents, verify demographic information, and interpret MOH Eligibility.
  • Collect self-pay payments and fees as required.
  • Complete clinic check-outs and schedule follow-up appointments or place patients on recall lists/workqueues.
  • Monitor patient lists and workqueues to ensure quality and report outliers to the supervisor.
  • Implement visit cancellations and rebooking in consultation with clinical staff.
  • Receive incoming telephone calls and respond to patient inquiries.
  • Communicate with physicians, nurses, and allied health team members to manage inquiries.
  • Utilize Epic for in-basket communication and to notify clinicians of patient arrival.
  • Confirm appointments and conduct follow-ups using an automated system.
  • Direct patients/families to designated locations within the hospital.
  • Request patient files from medical records and ensure progress notes and sheets are available and stamped correctly.
  • Pick up patient charts from medical records daily and request missing ones.
  • Maintain inventory of stock and filing, ensuring orders with notes are filed.
  • Locate old charts as appropriate.
  • Maintain and order clinic supplies.
  • Facilitate clerical duties related to equipment repairs, including filling forms and transporting equipment.
  • Retrieve labels for specimens.
  • Orient volunteers and clerical staff to clinics and Epic.
  • Perform work in accordance with the Occupational Health and Safety Act, CHEO corporate/departmental policies, and privacy/confidentiality policies.
  • Attend staff meetings when scheduling allows and review minutes.
  • Perform other related duties as assigned by the supervisor.
