About The Position

The Patient Service Associate - OBGYN role is within the HBD - Maternal-Fetal Practice unit. This position is responsible for coordinating patient appointment scheduling, including patient registration, updating insurance information, and scheduling visits. The associate will interact with a diverse patient population and utilize the electronic medical record (EMR) for maintaining patient records. Key responsibilities include understanding and applying state and government agency regulations for patient consents, particularly for wards of the state and working with facilities for proxy consents. The role also requires knowledge of and adherence to payer requirements for referrals and authorizations within the specialty scope. The associate will schedule follow-up appointments, referrals, and prior authorizations, and communicate professionally and timely with providers, patients, clinical care teams, and insurance companies. Additionally, the role involves answering incoming phone calls and directing them appropriately, and maintaining a professional image through adherence to the dress code. The position is also responsible for preparing patient disability and out-of-work/school paperwork, discussing financial obligations, explaining regulatory forms, and answering related questions. The associate will work in multiple systems during patient interactions and phone calls to ensure accurate registration and support clinical workflow. This role requires an understanding of the practice and hospital strategic plan, supporting departmental policies, procedures, and initiatives, and representing Albany Medical Center (AMC) and its ideals. The associate is expected to champion an optimal patient experience, promote patient and employee safety, and understand patient safety goals.

Requirements

Nice To Haves

  • 2-3 years office experience or one year of related experience in a medical practice
  • Experience using an electronic health record and Microsoft Office a plus.

Responsibilities

  • Register patients, update insurance information, schedule visits, and other duties as assigned to coordinate patient appointment scheduling.
  • Interact with a diverse patient population.
  • Utilize the electronic medical record to maintain patient records via registration process and scan functionality.
  • Be knowledgeable with state and government agencies to provide proper consents for patients who are wards of the state; work with facilities to obtain proper consents from patient proxies.
  • Be knowledgeable of and adhere to payer requirements for referrals and authorization within the scope of the specialty they are assigned.
  • Schedule follow up appointments, referrals and prior authorization for patient schedule visits as needed.
  • Communicate professionally and timely with all parties, including providers, patients, clinical care team, and insurance companies.
