About The Position

Noblesville OBGYN Specialists is seeking a Patient Service Representative to join their team. This role involves greeting patients, managing phone calls, and handling check-in and check-out procedures. The representative will also be responsible for maintaining accurate patient and financial records, and scheduling referral appointments. The position requires flexibility to perform both front desk and referral duties.

Requirements

  • Minimum High School Diploma or Equivalent
  • Previous Customer Service experience
  • Requires continual use of phone, fax, copier, and scanner daily.
  • Ensure to meet compliance with all applicable hospital and department policies, procedures, and protocols.

Nice To Haves

  • Specialized Training in office administrative skills such as computers, software, and data entry.
  • 1 or more years of office administrative experience and customer service.

Responsibilities

  • Complete requirements for checking patients in and out of the medical office.
  • Assist with patient scheduling, make appointments and referrals for testing and/or other specialists, ensuring medical orders are met.
  • Greet patients in a friendly and courteous manner, presenting as trustworthy and cooperative.
  • Document patient phone messages accurately.
  • Obtain necessary registration documents.
  • Register and update demographic and insurance information.
  • Update the patient’s electronic medical record and maintain records as required to meet compliances.
  • Communicate necessary information.
  • Maintain patient files or records timely.
  • Secure patient medical records and scan them into charts.
  • Assume information management responsibilities for patients’ electronic medical record.
  • Collect co-payments and post outstanding balances.
  • Receive payments and prepare bank deposits.
  • Balance and batch electronic credit card transactions.
  • Verify deposit totals with supervisor.
  • Prepare financial documents.
  • Maintain and reconcile cash drawer.
  • Process interoffice mail and faxed documentation, distributing and organizing appropriately.
  • Enter drug samples when asked.
  • Maintain educational supplies.
  • Assist other departments when needed.
  • Attend staff meetings.
  • Use computer for scheduling, registration, and other record keeping.
  • Maintain office supplies and/or communicate needs.
  • Ensure compliance with all applicable hospital and department policies, procedures, and protocols.
  • Notify management of changes in workload to maximize productivity.
  • Resolve and follow up on challenging occurrences or situations.
  • Maintain a positive attitude toward patients, physicians, co-workers, management, and other hospital staff.
  • Contribute to team building and maintain a team-oriented approach.
  • Perform other duties as assigned.
