About The Position

We are seeking a Patient Registrar to support patient care operations in Astoria, NY. The role focuses on patient registration, appointment scheduling, EHR documentation, insurance verification, pre-authorization, payment collection, telephone support, and general medical office administration.

Requirements

  • High School Diploma or GED required.
  • Strong customer service and interpersonal skills.
  • Strong telephone, computer, keyboarding, and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential patient information professionally.

Nice To Haves

  • Prior administrative experience in a healthcare or medical practice setting preferred.
  • Experience using an Electronic Health Record (EHR) preferred.
  • Epic experience preferred.
  • Experience with patient appointment and surgical scheduling preferred.
  • Knowledge of pre-authorization preferred.

Responsibilities

  • Complete patient registration and check-in using the EHR.
  • Obtain and verify demographic and billing information.
  • Scan insurance cards and photo identification into the EHR.
  • Verify insurance information and assist with Medicaid authorization requirements.
  • Schedule office appointments according to practice guidelines.
  • Schedule and manage follow-up appointments, testing, and consultations.
  • Maintain accurate appointment information in the EHR.
  • Work and update EHR task lists daily.
  • Address cancelled, no-show, referred, and rescheduled appointments according to policy.
  • Ensure required documentation is obtained, scanned, and electronically filed.
  • Answer telephone calls promptly and professionally.
  • Determine caller needs and provide appropriate assistance.
  • Schedule, reschedule, or modify appointments.
  • Direct calls to the appropriate staff or provider.
  • Take and distribute accurate messages.
  • Handle physician and provider calls according to established procedures.
  • Follow appropriate telephone etiquette.
  • Collect patient payments by cash, check, or credit card.
  • Prepare and issue patient receipts.
  • Reconcile daily co-payment batches and maintain accurate financial records.
  • Coordinate with billing for insurance verification when required.
  • Scan and maintain insurance documentation.
  • Assist with referral authorizations and pre-authorization requirements.
  • Arrange patient transportation when necessary.
  • Sort and distribute incoming mail.
  • Complete routine forms, records, reports, and correspondence.
  • Verify information and follow up on incomplete documentation.
  • Assist with patient check-in training for new staff when needed.
  • Provide general clerical support to practice staff.
  • Provide courteous and professional service to patients, providers, coworkers, and visitors.
  • Maintain patient privacy and confidentiality.
  • Handle confidential information with discretion and sensitivity.
  • Maintain a safe and clean work environment.
  • Follow all applicable practice policies and procedures.
  • Perform other related duties as assigned.
