About The Position

Capital Health is seeking a full-time Patient Reception Representative for their Gastroenterology Specialists practice in Pennington, NJ. This role is crucial for providing excellent patient care by managing front-desk operations, including answering phones, scheduling appointments, registering patients, handling payments, and maintaining patient records. The position requires a professional and welcoming demeanor, adherence to privacy policies, and efficient handling of patient inquiries and administrative tasks. The representative will work closely with physicians and other staff to ensure a smooth patient experience and efficient practice operations.

Requirements

  • High School diploma or equivalent.
  • One year experience as a receptionist or clerk in a healthcare environment or one year customer service experience.
  • Familiarity with medical terminology, ICD-10 and CPT codes.
  • Excellent communication and interpersonal skills.
  • Proficient computer skills; basic Microsoft office skills.
  • Familiarity with excel spreadsheets.

Nice To Haves

  • Medical assistant or medical office technician certification preferred.

Responsibilities

  • Answers telephones promptly and courteously, while handling multiple phone lines and routing calls appropriately.
  • Schedules and cancels appointments using established office guidelines and schedules patients for outpatient tests and surgeries.
  • Prepares for the day by reviewing eligibility and phone reports, preparing new patient charts and paperwork.
  • Greets patients and visitors professionally, informs them of privacy policies, and manages delays in physician schedules.
  • Performs registration to ensure demographic and insurance information is accurate and complete, complying with regulatory guidelines (HIPAA, ABN, Advance Directives, Patient Rights).
  • Obtains copies of insurance cards, driver's licenses, authorizations, and referrals, and enters them into the system.
  • Collects co-payments and outstanding balances at check-in and check-out according to policy.
  • Refers patients to CBO staff for issues regarding past due balances.
  • Reviews and complies with Patient Account Notes and Appointment Notes, and manages assigned Worklists/Boxes.
  • Confirms charges, approves claim creations, validates and submits appropriate claims, and works daily reports and HOLD Claim Worklists.
  • Schedules follow-up appointments, creates appointment ticklers, and works associated Worklists/boxes.
  • Completes referrals and pre-authorizations as required.
  • Creates and reconciles Time of Service batches, balances and closes batches/drawers, and turns over batches daily.
  • Performs clerical duties including processing mail, confirming appointments, sending follow-up notices, and maintaining statistics.
  • Performs other duties as assigned and may be assigned to other Capital Health Medical Group Practices as needed.
