Rehab Medical is seeking a Patient Care Representative (PCR) to join their dynamic Sales Team. The PCR plays a crucial role in supporting patients throughout the mobility equipment process, from initial intake to equipment approval. This role involves ensuring timely communication, coordination, and documentation to facilitate the efficient and satisfactory receipt of medical equipment by patients. Success is measured by timely follow-ups, accurate documentation, and strong communication skills that enhance patient satisfaction and process efficiency.   • Minimum 2 - years of administrative support experience

Responsibilities

  • Contact all new patients within 24 hours of referral to complete the Intake Questionnaire and initiate the process for obtaining mobility equipment.
  • Establish themselves as the main point of contact for patients.
  • Verify insurance coverage; if unable to complete verification, contact Business Support or submit the claim for business support to verify.
  • Explain the process and get the patient to commit to the process.
  • Ensure intake is completed within 5 business days.
  • If the patient is unreachable after 5 days, escalate to the Manager or Sales Representative for potential order cancellation.
  • If ongoing contact attempts (“phone tag”) occur, document each attempt rather than canceling the order.
  • Coordinate and schedule all necessary patient evaluations, including: Face-to-Face (F2F) physician evaluation, Physical or Occupational Therapy (PT/OT) evaluation, and Assistive Technology Professional (ATP) evaluation (for complex orders).
  • Schedule each step within 3 business days to keep the process moving efficiently.
  • Ensure scheduling process is completed within 20 days.
  • If scheduling exceeds 20 working days, PCRs must involve a manager for next steps.
  • Collaborate with Sales Representatives and ATPs to resolve scheduling delays and ensure continuity of patient care.
  • Support Sales Representatives by assisting with documentation as needed, including attaching, faxing, or assisting sales team with paperwork process.
  • Follow up with physician offices to ensure all forms are completed and received (role to be agreed upon with Sales Rep and Sales Manager).
  • Ensure final documentation is faxed to doctor timely.
  • Maintain consistent communication with patients throughout the process to ensure they are informed of their status and next steps.
  • Provide updates to patients at least every 5 business days, or more frequently if significant changes occur.
