About The Position

Alliance Orthopedics is seeking a Patient Care Coordinator Lead to join their dynamic, fast-growing company. This role involves acting as a liaison between providers and patients to monitor treatment plans, connect patients with healthcare providers, and evaluate their progress. The Lead will also manage a team of Coordinators. The ideal candidate should be knowledgeable about healthcare practices and possess the ability to delegate and oversee scheduling tasks.

Requirements

  • Advanced ability to communicate payment arrangements, out of pocket expenses.
  • Ability to convert a Self-Pay at an average of greater than 80%.
  • Ability to discuss fees for services not covered, DME bracing, images, etc.
  • Identify approvable TENS candidates and coordinate distribution with providers and ATC team.
  • Manage DME release paperwork and HLM spreadsheet.
  • Manage HLM spreadsheet ensuring accuracy of new patients being added as well as prompt removal of holds when the coordination is complete.
  • Assist providers in obtaining necessary authorizations for TENS/LSO/bracing.
  • Train all new and coach existing staff ongoing of the team all aspects of scheduling and coordination as well as ancillary services.
  • Oversee all PIP patients’ files by ensuring appropriate documents are on file (Dec page with policy max limits, accident report, signed PIP paperwork) have attorney on file or discuss with clinical director coordinating patient to an attorney.
  • Report to practice manager and/or HR during IT issues.
  • Ensure all responsibilities and tasks are being fulfilled by HITCs.

Responsibilities

  • Anticipate the needs of core staff and providers for all new and reactivated patients coming back in for care.
  • Promote company marketing initiatives, scratch-off program, community outreach events, charities, and morale boosting activities.
  • Establish and maintain relationships that generate business, increase ROI, or expedite care at the highest level, 5 yearly networking events, growth on company initiatives.
  • Demonstrate mastery of all skills outlined on Healthcare Impact Team Coordinator and Scheduler Job Descriptions.
  • Adhere to Alliance Orthopedics office compliance rates of less than 13%.
  • Review office schedule as well as MD at openings shift daily.
  • Review all new and reactivated patients (IE/RE) to gather information on how the patient heard of us, their condition, its duration, image availability and recency, and coverage for procedures, DME, conservative therapy, and imaging.
  • Identify with providers best co-treat patients based off of medical necessity.
  • Review all medical records from outside clinics and facilities.
  • Plan ahead with the provider/physician the plan of care anticipated for each patient ensuring prompt coordination.
  • Communicate with back office all verifications are complete.
  • Ensure payment arrangements have been discussed and confirmed for new and reactivated patients.
  • Tour potential patients around the clinic creating excitement/urgency for treatments that pertain to the patient’s current goals/lifestyle.
  • Communicate treatment plans and protocols.
  • Facilitate and/or address questions about insurance policies and procedures, MD services.
  • Effectively queue up providers of patients' verbal and non-verbal feedback ensuring patients are being coordinated promptly towards their personal and wellness goals.
  • Participate in weekly communication calls with back office directors to create solutions for day-to-day concerns data entry, providers errors, PA/reimbursements etc.
  • Participate in weekly meetings with administrative directors to discuss strategies on company needs, team training, networking events etc.
  • Demonstrate knowledge of all Alliance Orthopedics specialist care services: procedure and surgical protocols, affiliate surgical centers and hospitals, and insurances accepted.
  • Escalate all issues or concerns to Senior Operations Manager.
  • Advanced ability to communicate payment arrangements, out of pocket expenses.

  • Maintain average visit counts per service (see Director for metric).
  • Ability to discuss fees for services not covered, DME bracing, images, etc.
