About the Role: We’re looking for a Patient Advocacy Associate to help us expand what’s possible for patients with serious diseases. Reporting to the VP, Patient Advocacy, the Patient Advocacy Associate will serve as a key operational partner to the Patient Advocacy & Professional Engagement team. This highly organized, detail-oriented professional will be responsible for coordinating cross-functional projects, managing funding requests and engagements with patient advocacy organizations and professional medical societies, and ensuring operational excellence across the department, including coordination of the HCP Engagement Process. The ideal candidate is an exceptional project manager who thrives in a fast-paced environment, enjoys building systems and processes, and can successfully manage multiple priorities while maintaining a high level of accuracy and professionalism.

Requirements

  • Bachelor’s degree
  • 3+ years of experience in project management, operations, Medical Affairs, patient advocacy, or healthcare administration.
  • Deep understanding of patient advocacy, professional medical societies, and patient engagement within the biotechnology, pharmaceutical, or healthcare industries.
  • Demonstrated ability to manage multiple concurrent priorities with meticulous attention to detail.
  • Excellent communication and interpersonal skills to engage with patients, advocacy groups, and internal stakeholders effectively.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Experience developing dashboards, trackers, and reporting tools.
  • Deep empathy for patients and their families, with a passion for advocating on their behalf.

Nice To Haves

  • Experience with Respiratory Medicine.

Responsibilities

  • Serve as the operational lead for departmental projects, ensuring deliverables are completed on time and stakeholders remain informed.
  • Develop and maintain project timelines, trackers, and status reports; coordinate cross-functional activities; and identify risks and escalate issues proactively.
  • Maintain a comprehensive tracker of corporate memberships, sponsorships, grants, and collaborative projects with patient advocacy and professional medical associations.
  • Coordinate annual planning, contract execution, deliverables, renewal timelines, and reporting requirements to ensure organizational commitments are met on schedule.
  • Coordinate engagement activities across the Patient Advocacy organization, including advisory boards, speaker programs, research collaborations, and educational initiatives.
  • Maintain a centralized calendar and engagement tracker to provide visibility across the organization.
  • Ensure all documentation and compliance requirements are completed for every engagement.
  • Organize and participate in patient advocacy events, workshops, and conferences to promote awareness and foster community engagement.
  • Develop and maintain a Patient Engagement Dashboard tracking KPIs and strategic metrics; generate routine reports and executive summaries to support leadership decision-making.
  • Coordinate contracting for HCPs, patients, caregivers, consultants, and external organizations; partner with Legal, Compliance, Procurement, and Finance to facilitate timely execution and track contract status.
  • Support annual budget planning, track spending by project and initiative, process invoices, monitor purchase orders and accruals, and prepare regular budget reports and forecasts for leadership.
