About The Position

This is a part-time position requiring 12 weekly hours, with a night shift schedule of one 12-hour shift per week, from 6:15 PM to 6:45 AM. The role also requires working holidays and weekends. The primary function is to ensure all reservations and pre-certification information are obtained for scheduled admissions. This includes coordinating reservations for all patients entering the hospital, assigning patient rooms for medical/surgical and monitored step-down units, and coordinating bed assignments with various specialized units such as Behavioral Health, Rehab, Mother/Baby, Palliative Care, Pediatrics, and Critical Care. The role also involves obtaining pre-certifications for scheduled admissions prior to the patient's arrival, verifying insurance coverage, and copay/deductible amounts to support up-front cash collection initiatives.

Requirements

  • High school diploma or equivalent preferred.
  • Experience in patient registration procedures.
  • Knowledge of medical terminology.
  • Experience in medical office functions.
  • Proficiency in Excel and Microsoft applications.
  • Computer keyboard experience.
  • Ability to communicate effectively with patients, families, hospital personnel, physicians, and other customers.
  • Must always display a courteous and helpful attitude toward patients, public, and fellow employees.
  • Must maintain a positive working relationship with all departments, floors, and doctors' offices.
  • Must maintain composure when under pressure due to a shortage of beds.
  • Must be experienced in the use of various office machines.
  • Must type 45 wpm.
  • Must exhibit good telephone skills.

Responsibilities

  • Identifies all insurances requiring authorization and obtains the authorization prior to patient admission.
  • Utilizes fax, telephone, and online sources to gather necessary information.
  • Records information for staff use in collection action in Excel spreadsheets and Alternative.
  • Coordinates with the surgery schedule for the admission of surgery patients as observation or In-patient, ensuring pre-certs and insurance verification are complete.
  • Assigns beds and places patients on appropriate units following established guidelines based on patient need, utilizing Patient Tracking and Pre-admit Tracking software systems to communicate bed needs and assignments.
  • Prioritizes beds for assignment in coordination with department management, house manager, and based on patient medical needs.
  • Documents room assignments on patient room assignment log and maintains accurate transfer documentation, coordinating patient transfers.
  • Coordinates courtesy discharges for distribution to nursing units.
  • Updates Alternative with patient status (OBS vs. IP) changes/corrections received from Case Management (CCP) staff for accurate billing of accounts.
  • Notifies cashier/financial counseling of ‘self pay’ patients for financial arrangements to be made prior to admission.
