About The Position

The Patient Access Coordinator functions as the initial contact for all incoming patients to the Student Health Center (SHC), including students, spouses, employees (for worker's compensation injuries), campus visitors, and others participating in special camps and programs. The Coordinator is a member of the multi-disciplinary team in the Medical Clinics, including general medicine, gynecology and specialty care. The Coordinator supports both the check-in process, including scheduling and health records, and the check-out process, including accounts receivable. Should have a deep appreciation for a collaborative care model, partnering with all areas of the SHC, and be committed to advancing the divisional priorities, and cultivating a working relationship with Our Lady of the Lake Health.

Responsibilities

  • Schedule, reschedule, cancel and confirm in-person and telehealth appointments and manage provider schedules in multiple clinics.
  • Greet and direct patients and visitors in a friendly, prompt, and helpful manner.
  • Maintain accuracy of patient demographics, contact information, insurance information and filing status by verifying this information at each patient encounter upon check-in.
  • Ensure required/applicable forms are presented, explained and completed correctly to finalize check-in process.
  • Maintain patient confidentiality and a working knowledge of all relevant policies and procedures, including HIPAA and the SHC eligibility policy.
  • Answer general inquiries related to the SHC routing the inquiry to the appropriate unit, as needed.
  • Collect and review all patient insurance information needed to complete the benefit verification process.
  • Upon check-in, initiate patient tracking in the Electronic Health Records System.
  • Accurately collect and post co-pays and other appropriate fees at check-in.
  • Accurately post patient payments by recording cash, checks and credit card transactions and provide receipts to patients.
  • Respond to patient inquires regarding basic insurance questions.
  • Perform daily cash reconciliation and reporting of individual till.
  • Review forms and records for accuracy and scan to appropriate health record when needed; manage requests to release Protected Health Information (PHI), verifying identity, confirming multiple unique identifiers, and releasing information exactly as specified.
  • Monitor incoming faxes and assign to appropriate staff, when appropriate.
  • Send outgoing faxes (i.e. referrals, refill requests, etc.) to external providers as requested.
  • Serve as backup for merging duplicate health records and run necessary daily reports in absence of Patient Access Manager.
  • Check out patients and complete the patient tracking in the Electronic Health Records System.
  • Performs other duties as assigned by the Executive Director. This includes but is not limited to efforts that support broad division/institution efforts including engaging in in-service opportunities for the division, and other special projects.
