About The Position

The Maintenance Parts Coordinator is responsible for parts receiving, inventory control, and the organization of the Maintenance Parts Storage Area. Key duties include the physical receiving and transacting of parts in Oracle, maintaining accurate inventory through regular cycle counts, and issuing parts to technicians through the CMMS. The parts Coordinator works closely with the MRO Buyer to monitor stock levels, identify parts that need to be reordered, and add new parts to the inventory. Additionally, the Parts Coordinator is responsible for creating and managing new or existing assets in the CMMS. This includes researching parts, reviewing equipment documentation, and working directly with vendors to build and maintain recommended spare parts lists. It is essential that parts are accurately named, clearly labeled, and correctly assigned to their respective assets in the system to support work order planning and improve technician efficiency.

Requirements

  • Proficient with Microsoft Office Suite and related software, especially Excel.
  • Strong typing skills.
  • Excellent negotiating, interpersonal and customer service skills.
  • 2 to 5 years’ experience as a Parts Coordinator
  • Experience with financial rules, financial reporting and analyzing.
  • Some experience with identifying machine parts and understanding their function.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment.
  • High School Diploma or GED equivalent required.

Nice To Haves

  • Experience with a CMMS a plus.
  • Some college or specialized training a plus.
  • Fluent in Spanish is a plus.

Responsibilities

  • Physically receive parts, supplies and equipment that are delivered to the Plant for the Engineering and Maintenance Team or are ordered by such for any other department. Deliver to intended recipient or place physically in stock.
  • Transact parts in both Oracle and the CMMS that were ordered for or by the Engineering or Maintenance Department. Ensure Bills of Lading, Shippers, etc. for the receipts are scanned and saved in the proper Maintenance Folder on the network and physically file these also with the PO Paperwork in an organized fashion.
  • Receive in Oracle completed service work to service PO’s. Work with the requester to ensure timely communication of completed work and receiving of invoices against the PO. File Invoices for service work both in the Maintenance Network Folder and the physical files for PO’s.
  • Work with the MRO Buyer, periodically checking the PO Spread Sheet to keep abreast of when parts are due or if they are late. Update the PO Spread Sheet with confirmation of receipt.
  • Manage the physical organization of the Plant Stockrooms, to include placement of cabinets and shelves, designating and maintaining location labeling, maintaining cleanliness, ensuring parts are in the proper location and maintaining the labeling of parts bins.
  • Perform periodic analysis of each system in the plant and create a list of each part that should be held in stock for each system to include stocking levels. Ensure the vital information for each part is populated in the CMMS to include stocking levels and order information.
  • Add new parts to the system through ensuring that the parts are purchased, assigned a part number, assigned a location, entered into the CMMS to include stocking levels, location, order information and a link to an equipment number.
  • Transact parts issues in the CMMS inventory each day, using the manual card filled out by the person who removed the part.
  • Partnering with the Maintenance Team, ensure proper compliance of Stockroom policies, to include proper signing out of parts when taken from the Stockroom.
  • Run a daily transaction report in the CMMS to review what has been taken from inventory the previous day.
  • Run a daily report in the CMMS to discover parts at or below the re-order level and submit a requisition to the MRO Buyer for all such parts.
  • Perform daily follow-up on parts re-order status.
  • Perform frequent, periodic Cycle Counts to determine inventory accuracy and catch stock issues before they cause plant downtime.
  • Run reports and create periodic Key Performance Indicator (KPI) Reports for the Leadership Team.
  • Work with Mechanics, MRO Buyer, Leadership and Engineering in order help with emergency or critical order information for technical parts.
  • Coordinate with the Maintenance Supervisors and Technicians to ensure kitted parts are prepared in advance for scheduled work.
  • Research parts and equipment to support maintenance activities and reliability initiatives.
  • Create and manage new or existing assets in the CMMS, ensuring correct data entry and system structure.
  • Perform other duties as assigned.
