About The Position

Under the general direction of the Parks & Recreation Director, the Administrative Assistant performs a wide variety of administrative, clerical, customer service, and office management duties in support of the department's programs, facilities, and operations. The ideal candidate is highly organized, technologically proficient, detail-oriented, and capable of managing multiple priorities while maintaining excellent customer service.

Requirements

  • Bachelor’s degree in Business Administration, Public Administration, Recreation Administration, Office Administration, or a related field, and two (2) years of progressively responsible administrative support experience.
  • High School Diploma or GED, and four (4) years of increasingly responsible administrative or office support experience.

Nice To Haves

  • Experience using recreation management software (RecDesk, CivicRec, ActiveNet, etc.)
  • Experience working in municipal government or public administration
  • Strong customer service background
  • Experience with event coordination
  • Graphic design or marketing experience

Responsibilities

  • Answer incoming phone calls, emails, and general inquiries.
  • Assist residents with recreation program registration, memberships, facility rentals, and park reservations.
  • Process park and facility reservation requests and issue approved permits.
  • Maintain and update the department's RecDesk recreation management software.
  • Enter and maintain recreation programs, leagues, rentals, memberships, and facility schedules.
  • Prepare correspondence, reports, meeting agendas, presentations, newsletters, flyers, and promotional materials.
  • Maintain department calendars, schedules, and important deadlines.
  • Assist with purchasing office supplies and maintaining inventory.
  • Process invoices, purchase orders, and other administrative paperwork.
  • Maintain electronic and paper filing systems.
  • Create online registration forms, surveys, and participant communications.
  • Assist with marketing recreation programs through social media, email campaigns, and printed materials.
  • Support special events by assisting with registrations, vendor communications, logistics, and event preparation.
  • Maintain confidential records and information.
  • Provide administrative support to department leadership and staff.
  • Perform other related duties as assigned.
