About The Position

Nestled in a wooded area of northwest Austin, St. Thomas More is a thriving Catholic parish dedicated to the Church’s mission. We are seeking a Parish Business Administrator to combine a commitment to the Catholic faith with strong leadership and business expertise. The Parish Business Administrator (PBA) is responsible for overseeing the day-to-day operations of the parish and collaborating with the Pastor to oversee parish finances, human resource needs, facility repairs and projects, maintaining accurate financial records, and assisting the Pastor in managing the assets of the parish. The PBA additionally collaborates with the Pastor in strategic matters. This position reports directly to the Pastor and operates with some latitude for the use of independent judgment and initiative. Positions employed at St. Thomas More Catholic Church help to extend the ministry of the Pastor in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Pastor in the performance of his ministry and thereby engages in ministry for the Church.

Requirements

  • Strong commitment to the Catholic faith.
  • Proven leadership and interpersonal skills.
  • Knowledge of basic accounting and financial reporting.
  • Familiarity with, or ability to learn, diocesan financial policies and parish administration procedures.
  • Proficiency with office equipment and standard computer applications, including Microsoft Office, databases, and cloud-based tools.
  • Ability to quickly learn new software and processes.
  • Strong relationship-building and customer service skills with clergy, staff, and parishioners.
  • General knowledge of human resources and labor practices.
  • Ability to maintain confidentiality and professionalism.
  • Ability to work effectively with diverse groups.
  • Flexibility to work evenings, weekends, and holidays as needed.
  • Ability to follow verbal and written instructions.
  • Bachelor’s degree from an accredited American college or university or higher (or equivalent in a foreign country)
  • Two (2) years or more wage earning, related work experience.
  • Five (5) years or more of supervisory experience.
  • English (proficient in conversing, reading, and writing)
  • Valid Texas driver’s license.
  • Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

Responsibilities

  • Support and uphold the faith and morals of Catholic Church and the mission of St. Thomas More in both your professional and personal life.
  • Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
  • Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
  • Align with Pastor and Lead Staff in Support of His Mission.
  • Assist the Pastor and Leadership Team in strategic planning, long-range operational forecasting, and proactive development of parish systems, resources, and initiatives to support the mission of the parish.
  • Responsible for policies, procedures and enforcement of the Employee Handbook, Emergency Preparedness Manual, and Diocesan, Regulatory, & HR Policies.
  • Responsible for hiring new employees including onboard paperwork, benefits, and EIM compliance.
  • Support staff goals and mission by addressing resource needs as required.
  • Primary Point of Contact for all business matters.
  • Support parish and diocesan fundraising activities in cooperation with the pastor.
  • Lead and coordinate monthly staff meetings.
  • Other duties assigned by the Pastor.
  • Lead the parish accounting staff.
  • Ensure accuracy in financial reporting as provided by the Director of Accounting.
  • Ensure parish accounting practices adhere to diocesan guidelines.
  • Ensure payroll and benefits are administered timely and accurately.
  • Ensure parish bills are paid by the Accounting Department in a timely and accurate manner.
  • Ensure the weekly collections are counted and recorded according to diocesan guidelines.
  • Understand and interpret financial reports to drive solid operational decision making.
  • Responsible for the operating & capital budget creation and adherence.
  • Attend Finance Council Meetings to convey and shape the fiscal health of the parish.
  • Administer large site contracts, vendor agreements and payments. Examples include copiers, traffic control, boy scouts, and internet/phone contracts.
  • Primary responsibility for operating bank account and credit cards.
  • Lead and support the Preschool Director and Child Care Coordinator in ensuring program effectiveness, budgetary and regulatory compliance, and staff development.
  • Lead the Director of Facilities.
  • Ensure maintenance of campus grounds, facilities, and housekeeping.
  • Ensure budgetary and regulatory compliance.
  • Ensure campus security, capital projects, traffic control, and property insurance matters are managed effectively.
  • Ensure AV reliability.
  • Serve as back up if the Director of Facilities is unavailable.
  • Primary point of contact for the Scouts and Eagle Scout projects.
  • Lead Columbarium Coordinator.
  • Responsible for the Columbarium Policy.
  • Ensure niche sales and inurnments support parishioner needs.
  • Ensure all documentation requirements are met.
  • Ensure the long-term financial health of the Columbarium trust fund.
  • Serve as back up if the Columbarium Coordinator is unavailable.
  • Administer IT support contract.
  • Responsible for all computer, phones, and network hardware operational reliability.
  • Responsible for monthly staff cybersecurity training compliance.
  • Implement IT capital projects as needed.
