About The Position

Creation Village World School (CVSW) is seeking a qualified receptionist who can assist with parent relations from 4:30pm to 6:30pm weekdays. The Parent Relations Manager is responsible for evening functions and supervision of the facility.

Requirements

  • Provide general administrative services including expense report processing, credit card reconciliation.
  • Provide general new employee setup duties including new hire paperwork.
  • Experience with phone systems, combined with the ability to handle calls, transfers, etc.
  • Coordinating and scheduling company functions/activities/lunches and business meetings/team and group meeting either in the office or outside
  • General office housekeeping to include the neatness/maintenance within the lobby area, conference rooms, as well as kitchen and break room facilities
  • Maintaining inventory, ordering stocking of all office supplies including shipping/receiving
  • A solid understanding for MS Office and general desktop applications and web browsers
  • Ability to hear the conversational voice, with or without a hearing aid
  • Ability to see and read newsprint with or without corrective lenses
  • Ability to speak and be understood under normal circumstances
  • Ability to lift and carry children and other items weighing up to 50 pounds
  • Use of arms, hands, legs, and feet with or without corrective devices to accomplish the job, including evacuation of the building during emergencies.

Responsibilities

  • Evening functions and supervision of the facility
  • Provide office support services to ensure efficiency and effectiveness
  • Answer all incoming calls and handle caller’s inquiries whenever possible
  • Re-direct calls as appropriate and take adequate messages when required
  • Greet, assist and/or direct visitors to the proper location
  • Pick up and deliver the mail
  • Assist in the planning and preparation of meetings, conferences conference telephone calls
  • Provide MS Office and secretarial support
  • Monitor the use of supplies and equipment to keep adequate inventory
  • Provide support for enrolled families
  • Manage billing and collections for CV enrolled families
  • Manage enrollment documentation and ongoing required child documentation
  • Develop and maintain a current and accurate filing system
  • Field and manage family questions regarding CV
  • Manage communications with enrolled families
  • Perform staff and internal support
  • Coordinate internal staff communication including internal newsletter for staff
  • Coordinate staff events and meetings
  • Assist in managing staff breaks
  • Support in assigned project based work
