About The Position

The OS&D Coordinator is responsible for the handling and processing of over, short, and damaged shipments, with responsibilities split between dock operations and administrative duties. The role includes investigating shipment discrepancies, maintaining appropriate records, providing instruction to customers on filing claims, and resolving issues through shipment traces and customer contacts. The OS&D Coordinator will work closely with dock and operations teams to identify and address issues while supporting the ongoing goal of reducing OS&D claims to “Zero.”

Requirements

  • Minimum of secondary education, with preference of post-secondary education (general stream), or a combination of education and experience.
  • Previous Transportation or operational experience is preferred, various roles within transportation would be beneficial.
  • Communication skills - advanced
  • Bilingualism (English and French) is required for internal communication with terminals across Canada.
  • Computer skills – accuracy, MS products, Salesforce, web based programs
  • Demonstrated customer relationship skills
  • Strong conflict resolution skills
  • Able to work deadlines in high transactional environment
  • Ability to champion business needs in a collaborative manner to colleagues
  • Ability to safely lift, carry, and move items weighing up to 40 lbs. on a regular basis.

  • Able to work with little supervision

Nice To Haves

  • Forklift experience would be considered an asset.

Responsibilities

  • Resolution of OS&D (Over, Short or Damaged Freight) within applicable terminal operation.
  • Trace shipments as requested by customers, through computer system documentation review.
  • Provide information on whereabouts of goods, manifesting for line haul.
  • Create tracker tickets, following up with drivers for required information.
  • Follow up daily on tickets until they have been closed.
  • Perform customer service function, settle problems and inquiries.
  • Fulfill document requests, and adjustments/rebills as required.
  • Inspect OS&D area twice each day. Maintain in neat, organized fashion.
  • Maintain two (2) sections, refusals and OWB (freight that has no identification).
  • Maintain a daily dock inventory spreadsheet, allowing visibility and management of volume of claims.
