Requirements

  • Customer service or sales experience required; dental experience is a plus!
  • Dental Radiology Certification a plus.
  • Ability to work in a fast paced environment and prioritize multiple tasks.
  • Excellent communication, problem-solving, and people skills
  • High level knowledge of orthodontic procedures, dental insurance, and financing options is preferred.
  • Full-time role (30+ hours per week).
  • Must be dependable with a strong attention to detail.
  • CPR Certification is required.
  • Customer service or sales experience required; dental/orthodontic experience strongly preferred.
  • Understanding of orthodontic workflows, dental insurance, Medicaid/PPO, self-pay systems, and financing options preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to work independently and manage multiple offices remotely.
  • Proficiency in Microsoft Office Suite and comfort working in shared digital platforms; dental software experience preferred.

Responsibilities

  • Conduct virtual orthodontic consultations via Zoom or other approved platforms.
  • Present orthodontic treatment plans after clinical review.
  • Educate patients on treatment timelines, expectations, and next steps.
  • Complete all intro calls, consultation confirmations, and post-consultation follow-up.
  • Provide warm, professional, and high-quality customer service.
  • Provide accurate financial estimates, including insurance coverage, out-of-pocket amounts, and payment plan options.
  • Clearly explain financing options, discounts, service limits, and company policies.
  • Submit, track, and follow up on all treatment-related insurance pre-authorizations (including Medicaid, PPO, etc.).
  • Obtain necessary signatures, forms, and documents electronically.
  • Verify insurance benefits, limitations, and patient contributions.
  • Schedule and coordinate appointments across multiple offices based on availability and treatment needs.
  • Confirm all consultation appointments and ensure proper documentation is prepared in advance.
  • Coordinate necessary dental appointments (cleanings, restorations, clearances, etc.) required prior to orthodontic treatment.
  • Ensure all virtual and in-office follow-up steps are completed accurately.
  • Record all consultations, outcomes, and patient notes in shared tracking platforms (e.g., shared spreadsheets, CRM dashboards, project management systems).
  • Track referral sources for each consultation (internal referrals, external referrals, marketing leads, community events, digital ads, etc.).
  • Generate weekly and monthly referral source summaries for the marketing team.
  • Identify trends and opportunities for internal and external marketing growth.
  • Communicate referral data and conversion insights to marketing and leadership teams to support strategic initiatives.
  • Maintain accurate and organized digital records of treatment plans, financial agreements, and pre-authorization documentation.
  • Prepare patient charts and pre-consultation materials for office teams.
  • Track consultation conversions, case acceptance, and follow-through.
  • Assist offices with patient communication, reminders, and satisfaction surveys.
  • Maintain HIPAA and data-security compliance at all times.
  • Demonstrate consistent punctuality, responsibility, and follow-through.
  • Collaborate with clinical and administrative teams to support patient flow and office success.
